About the Company
The organisation is a major Singapore-based provider of end-to-end underground utilities infrastructure. Its work spans construction and maintenance for underground utilities, sewer pipeline rehabilitation, road and airfield works, asphalt pre-mix manufacturing, and construction waste recycling.
Role Overview
This position supports Facilities, Dormitory, and Security (FDS) functions through reliable administrative coordination, record management, and document control. The role is important for keeping daily operations organised and ensuring information is accurate, complete, and easy to retrieve.
Key Responsibilities
- Maintain and update dormitory information in the Employee Management System (EMS).
- Enter resident details accurately into dormitory management platforms or spreadsheets.
- Sort, organise, and archive documents including tenancy contracts, maintenance records, invoices, and related correspondence.
- Keep records current, securely stored, and readily available for audits and operational checks.
- Prepare FDS claim paperwork, secure the required sign-offs, and send documents to Finance; also scan and store files in Google Drive.
- Handle FDS delivery orders by arranging verification and signatures, then complete submission and electronic filing.
- Coordinate the collection of authorised signatures for FDS invoices and forward the supporting documents to Finance.
- Assist with gathering authorised signatures for overtime timesheets.
- Track stock levels, flag low inventory, and raise purchase requisitions in Taskhub when needed.
- Submit staff leave requests in the leave system when required.
- Keep complete filing for all FDS-related forms and records.
- Support FDS-related events or operational activities as assigned.
- Take on additional duties directed by the immediate supervisor or Head of Department.
Requirements
- Minimum qualification of GCE O Level or an equivalent credential.
- At least 1 to 2 years of relevant administrative work experience.
- Comfortable using Microsoft Office tools, especially Excel, Word, and PowerPoint.
- Strong organisational ability and good time management skills.
- Careful, accurate, and detail-oriented in data entry and document handling.
- Good communication skills to work effectively with internal stakeholders.
- Able to work on own initiative and also contribute well in a team.
Working Arrangement
This is an onsite role based in Singapore. The office is located at No. 3 Sungei Kadut Drive, Singapore 729556 in North Singapore.
Work Schedule
The position follows a 5-day work week.
