Role Overview

The company is looking for a well-organized and detail-focused Project Coordinator to support project planning, implementation, reporting, and coordination with stakeholders across multiple hospitality and lifestyle initiatives. Key Responsibilities

  • Support the creation of project plans, timelines, and action plans, and keep track of progress against key milestones and deadlines.
  • Help coordinate project work so objectives are delivered on time, and raise concerns quickly when schedules begin to slip.
  • Manage coordination of people, equipment, and software required for projects, and help teams access the tools and support they need.
  • Assist with workload planning and efficient use of resources across the project team.
  • Arrange project meetings, workshops, and progress reviews, and prepare agendas, presentations, and minutes.
  • Share regular project status updates with stakeholders and leadership, and help connect departments, vendors, and project teams.
  • Keep project records accurate, maintain documentation, and prepare reports, dashboards, and performance summaries.
  • Store completed project files according to company standards and make sure records remain current, compliant, and easy to retrieve.
  • Spot possible project risks and operational issues, maintain risk and issue logs, and support mitigation and contingency planning.
  • Track action items through to closure and follow up to ensure project issues are resolved promptly.
  • Provide daily administrative support for projects, including scheduling, correspondence, and data entry.
  • Monitor project budgets, payments, invoices, and financial progress, and support procurement coordination and vendor communication.

Requirements

  • A bachelor's degree in Business Administration, Project Management, Hospitality Management, or a similar discipline.
  • At least 5 years of experience in project coordination, project administration, or another comparable role.
  • Prior work experience in hospitality, food and beverage, lifestyle, or entertainment is required.
  • A solid understanding of project management approaches and best practices.
  • Strong organizational abilities and the capacity to handle several projects at once.
  • Proven capability in budget monitoring and financial tracking.
  • Excellent spoken and written communication skills.
