About the Role
This contract opportunity is for a seasoned Executive Administrator who can deliver senior-level administrative and operational support in a fast-moving technology setting. The position calls for someone who can stay ahead of shifting priorities, forecast what leaders need before they ask, and act as a dependable partner to executives and key stakeholders. The role is remote, with a preference for candidates working in the EST time zone.
What You’ll Do
- Oversee complex executive calendars with careful prioritization so leadership time is used effectively.
- Arrange meetings across senior leaders, clients, partners, and internal teams, while resolving scheduling conflicts early.
- Handle meeting coordination, including agendas, communications, and logistical follow-through.
- Plan both domestic and international travel, covering itineraries and accommodations.
- Review, process, and reconcile executive expense reports accurately and on schedule.
- Make sure travel and expense activities follow company policies.
- Provide support for shipping and logistics tasks when needed.
- Assist with purchase orders, procurement submissions, and vendor coordination.
- Support onboarding workflows, including equipment requests, asset tracking, and access setup.
- Maintain distribution lists, headcount records, and organizational changes.
- Help organize team meetings, offsites, morale-building events, and other group activities.
- Work with business operations and cross-functional partners to address everyday operational needs.
- Draft reports, presentations, correspondence, and other business documents.
- Keep records and documentation organized while protecting sensitive information.
- Review administrative workflows and suggest improvements where possible.
- Act with professionalism, discretion, and sound judgment as a trusted advisor.
Required Experience and Qualifications
- At least 8 years of experience supporting senior-level leaders, ideally at the General Manager, Vice President, or executive tier.
- Demonstrated success managing several executive calendars at once.
- Hands-on experience handling executive travel and expense processes.
- Background supporting procurement, purchase orders, shipping, or other operational work.
- Advanced working knowledge of Microsoft Office tools, especially Outlook, Excel, PowerPoint, and Word.
- Strong written and spoken communication skills.
- Excellent organization, multitasking, and prioritization capabilities.
- Ability to operate independently while balancing competing demands in a fast-paced environment.
- Proven discretion and the ability to keep confidential information private.
- Experience in technology companies or large corporate environments.
- Ability to predict needs, troubleshoot proactively, and work effectively through ambiguity.
Preferred Background
- Prior support for senior executives, General Managers, Vice Presidents, or C-suite leaders is highly desirable.
- Experience working with multiple managers and teams at the same time is an advantage.
- Previous work inside a large technology organization is preferred.
