About the Role
Compass is seeking an Executive Assistant & Office Coordinator to support the Sydney leadership team and ensure the Sydney office runs efficiently. This position is based onsite in North Sydney and suits someone with a few years of coordination or administrative experience who is ready for a fast-moving environment where they can contribute meaningfully.
This is a part-time role, requiring four days per week, equivalent to 0.8 FTE.
Executive Support
- Coordinate calendars, arrange meetings and provide daily administrative assistance to senior leaders.
- Prepare documents, presentations and simple reports as needed.
- Organise meetings by handling agendas, taking notes and tracking follow-up actions.
- Manage travel arrangements and expense processing for assigned leaders.
- Review and route incoming requests so responses are handled promptly and professionally.
Office Coordination
- Serve as the first contact for office visitors, building management and general office enquiries.
- Keep office supplies stocked and maintain shared areas, including the kitchen, meeting rooms and common spaces.
- Handle daily kitchen upkeep, dishwasher duties and coffee machine maintenance.
- Coordinate deliveries, couriers and incoming mail.
- Track company vehicle registers and organise staff vehicle bookings.
- Assist with staff gifts, awards and thank-you items for stakeholders.
- Flag facilities-related issues and provide general support across the business when required.
Events and Culture
- Support the planning of internal events, team activities and office initiatives such as leadership off-sites, team lunches and year-end celebrations.
- Arrange catering and logistics for meetings and smaller events.
- Book travel when needed, including flights, accommodation and car hire.
- Work with the People & Talent team on culture initiatives and onsite experiences.
What You’ll Bring
This role is best suited to someone who is organised, self-starting and comfortable juggling different tasks throughout the day.
- 2 to 3 years of experience in administration or coordination, preferably supporting senior stakeholders.
- A proactive working style with the ability to anticipate needs, take initiative and complete tasks reliably.
- Strong written and verbal communication skills and the confidence to interact professionally with a range of stakeholders.
- Excellent attention to detail and the ability to manage several priorities in a changing environment.
- Good judgement when dealing with sensitive or confidential matters.
- A positive, can-do mindset and enjoyment in keeping people and processes running smoothly.
Highly Regarded
- Previous experience as an Executive Assistant.
- Background in a technology, SaaS or fast-growing scale-up company.
