Primary Duties

  • Build and sustain constructive working relationships with suppliers and take part in supplier performance review and appraisal activities.
  • Coordinate with suppliers on technical matters, assess deviations, and determine whether the current arrangement remains workable.
  • Handle site queries related to missing materials, non-conformance reports, and drawings by discussing them with engineering, procurement, and expediting teams to arrive at practical site solutions.
  • Check field-expediting requirements at supplier premises, take part in expediting visits after consulting the Principal Project Engineer or Senior Project Engineer, maintain inspection plans, coordinate with QA/QC, and follow up on inspection approvals and release notes.
  • Issue shipping release notes to suppliers and logistics teams to initiate shipping, follow up on shipping documentation, coordinate dispatch timing, and monitor movement until the material receipt voucher is received on site.

  • Guide suppliers on invoicing requirements, check and process supplier invoices against progress milestones, and support payment administration.
  • Drive purchase order close-out by securing the final material record book and all other required close-out documents, initiate completion certification for progress and final payment, and track supplier performance metrics and evaluations.
  • Assist with decisions on freight charges, shipment method, dispute handling with suppliers, liquidated damages recommendations, inspection waivers or applications, and field expediting needs when delegated by the Project Manager.
