Role overview
As a Receiving Agent, you will support the hotel’s inbound goods process by checking, documenting, and organizing deliveries. The position focuses on accuracy, compliance with purchasing rules, and close coordination with procurement, finance, vendors, and other internal teams.
Key responsibilities
- Accept incoming deliveries and examine them against purchase orders and delivery paperwork to confirm the correct items, quantities, and condition.
- Make sure all received goods match the property’s required quality and specification standards.
- Keep detailed records for every delivery, including item condition, quantities, and any shortages, overages, or other mismatches.
- Maintain updated inventory records and orderly receiving documentation.
- Work with suppliers and vendors to arrange deliveries and resolve delivery-related concerns.
- Escalate damaged, defective, or below-standard items to the Procurement Manager.
- Support inventory control by ensuring stock information is accurate and current.
- Partner with the procurement team to improve stock handling and control processes.
- Perform quality inspections on received goods to confirm compliance with hotel safety and quality requirements.
- Report any quality concerns to the Procurement Manager for follow-up action.
- Prepare reports on receipts, inventory status, and discrepancies.
- Share prompt updates with the Procurement Manager and Finance team.
- Follow health and safety rules while handling, moving, and storing materials.
- Keep the receiving area tidy and well organized.
- Communicate and coordinate effectively with procurement and other relevant departments.
- Carry out duties in a safe and environmentally responsible way, with attention to guest and employee well-being and environmental care.
- Comply with the hotel’s environmental, health, and safety policies and procedures.
