Role Overview

The Creative Coordinator supports the Creative Advertising team for Universal Pictures theatrical releases. This role sits within a fast-moving, collaborative environment and reports to the EVP of Creative Advertising. It supports domestic and international teams to help keep projects moving efficiently from development through delivery.

Key Responsibilities

  • Handle day-to-day administrative support such as calendar coordination, scheduling, travel and expense processing, and invoice management.
  • Track A/V and print advertising assets from early creative development through revision cycles and final distribution.
  • Assemble meeting materials, including A/V transcripts, print-ready PDFs, and any other assets needed on planned or urgent timelines.
  • Process purchase orders promptly and monitor overall budget usage.
  • Maintain organized digital libraries of QuickTimes, PDFs, and other creative files.
  • Work with the Creative Operations team on all A/V dubbing requests.
  • Manage highly confidential content related to unreleased films while following strict security procedures.
  • Share creative files with internal teams and outside partners.
  • Use email, Microsoft Teams, and Google Workspace to communicate across teams and workflows.
  • Coordinate with the dub room to distribute materials to agencies and vendors.
  • Keep accurate records of filmmaker and executive correspondence.
  • Juggle several projects at once and prioritize work based on deadlines and team needs.

Requirements

  • At least 2 years of experience working with Microsoft Word, Excel, and PowerPoint.
  • Comfort with occasional extended hours, overtime, and weekend work on short notice.
  • Administrative background in entertainment, especially with a creative agency or entertainment marketing company/studio, is preferred.
  • Experience in advertising or marketing is an added advantage.
  • Professional phone presence and strong verbal and written communication skills.
  • Strong organization, attention to detail, and consistent follow-through.

Compensation and Benefits
