Role overview
This position sits within a customer experience and events environment, supporting the delivery of premium events, projects, and engagement initiatives. The aim is to create memorable, highly tailored experiences that strengthen relationships with existing high-value customers while also attracting new ones.
The role involves working across several projects at the same time, coordinating with multiple stakeholders and partnering closely with the central events team. You will help ensure events are delivered to a very high standard and that communications, planning, and execution are tightly managed throughout.
The ideal person will be confident in pushing ideas forward, comfortable working in a fast-moving environment, and able to keep different teams informed and aligned. Strong communication, organisation, and stakeholder management are essential.
Key responsibilities
- Assist the Event Manager in shaping, developing, and delivering strategic communications, events, and customer experiences.
- Work collaboratively with the wider team to deliver activities and events to a consistently exceptional standard.
- Maintain accurate records for events, including RSVPs, sales, attendance, feedback, outcomes, and key learnings.
- Prepare event copy and briefing material that supports newsletter creation and circulation.
- Handle cost tracking and project budgeting, including raising and monitoring purchase orders and invoices through to final reconciliation.
- Communicate project progress to relevant stakeholders and produce project packs, critical paths, briefing documents, agendas, and timelines.
- Build and sustain effective relationships across internal teams and external partners, suppliers, and collaborators.
- Schedule and support regular meetings between VIP and Personal Shopping teams to keep communication and workflow efficient.
- Work with vendors on negotiations and help prepare contracts and agreements alongside the in-house legal team.
- Support research activities and help assemble presentation materials for projects.
- Make sure all events comply with health and safety, security, GDPR, and data protection requirements.
- Brief the Graphics and Creative teams in good time so event collateral and build requirements are delivered smoothly.
- Support live event delivery, including build-up, set-up, staffing, hosting, and on-site production.
- Act as a client contact throughout the project lifecycle.
- Assist the Event Manager with the planning and delivery of franchises.
Skills and experience
This role calls for hands-on event experience, including production and communications, ideally within luxury retail. You should be confident building networks, managing relationships across different functions, and communicating clearly in writing, verbally, and through presentations.
Strong planning, organisation, time management, and budget handling skills are important, especially in a busy, multi-project setting. A good understanding of the Selfridges customer, plus a genuine interest in innovative and creative event delivery, will help you succeed.
