Role overview
JPMorganChase is looking for a highly organized Executive Administrative Assistant to support a busy, client-facing team in Greater London. This position is designed for someone who can keep day-to-day operations running smoothly through strong planning, coordination, and attention to detail. You will build hands-on experience in diary management, travel, meetings, expenses, and wider team coordination while helping create a polished experience for colleagues and visitors.
In this role, you will support members of the UK Client Team within J.P. Morgan Asset Management. You will help keep leaders prepared, responsive, and well organized by handling calendars, inquiries, logistics, and office support needs. The role also involves working closely with another assistant, providing coverage when required, and managing sensitive information with care and discretion.
Responsibilities
- Manage diaries for several stakeholders, serve as the first contact for requests, and help prioritize incoming matters.
- Book and coordinate complex travel in line with company travel policies and current guidelines.
- Set up internal and external meetings, including room bookings, dial-in details, documents, agendas, and attendee coordination.
- Handle arrangements for outside visitors, such as scheduling, access needs, and on-site support in London.
- Deliver a warm, professional experience for visiting clients and guests.
- Process expenses and invoices from start to finish, including reconciliation, submission, tracking, and follow-up.
- Track incoming issues and requests, escalate risks when needed, and monitor actions to help deadlines stay on track.
- Raise and follow up on technology requests through internal systems to support everyday productivity.
- Help onboard new employees by coordinating setup tasks and introductions.
- Work with facilities teams to resolve office and workspace issues promptly.
- Provide backup assistance to other administrators to maintain continuity of support.
- Handle confidential matters with professionalism, good judgment, and discretion.
Requirements
- A genuine interest in developing a career in administrative or executive support; previous EA or AA experience is helpful but not essential.
- Strong organizational ability and careful attention to detail.
- Confident written and spoken communication skills with a strong service mindset.
- Good relationship-building skills and a collaborative approach.
- Flexible, proactive, and able to adjust quickly when priorities change.
- Calmly capable of juggling multiple priorities in a fast-moving environment.
- Strong discretion, sound judgment, and respect for confidentiality.
- Comfort using Microsoft Office tools, especially Outlook, Word, Excel, and PowerPoint, or a willingness to learn quickly.
- Experience with Concur for expense handling and reconciliation, or willingness to become proficient.
- Desirable background in calendar support, travel planning, meeting coordination, visitor support, invoice processing, or working with facilities and technology teams.
- Interest in supporting client-facing teams in asset management or financial services is an advantage.
