Role overview
This position supports outpatient clinical operations and administrative coordination within a hospital environment in Bukit Batok, Singapore. The role focuses on improving service flow, maintaining efficient day-to-day operations, and supporting new service rollouts while ensuring strong documentation, reporting, and stakeholder coordination.
Operations management
- Assist in supervising daily outpatient service activities, including patient movement, waiting time control, referral turnaround, appointment scheduling, and effective use of resources to keep operations efficient and service standards high.
- Work with the Outpatient Services team to evaluate workflows, care processes, and the service environment, then recommend and carry out improvements that strengthen delivery.
- Draft, update, and maintain SOPs, and ensure clinical and operational records are properly recorded in hospital IT systems.
- Handle patient service concerns, feedback, and escalations in a timely, courteous, and professional manner with the relevant stakeholders.
- Support service enhancement initiatives that contribute to patient experience, safety, and clinical outcomes.
- Assist with outpatient audits, quality checks, accreditation preparation, and regulatory compliance tasks.
- Coordinate with vendors and external service partners on service delivery, projects, and implementation work.
- Use healthcare IT systems and available data to study performance patterns, build operational dashboards, prepare management reports, and create presentation materials for review.
Administrative management
- Support asset administration, including tracking, arranging maintenance, and keeping inventory records current.
- Help with procurement activities by preparing approval documents, quotations, and proposals in line with hospital policies.
- Contribute to the department’s annual workplan and budgeting process.
- Track KPIs and budget usage, and flag exceptions, gaps, and potential risks when needed.
- Handle contract renewals, timesheet collection, and onboarding coordination for external service providers.
- Provide secretariat and administrative support for meetings, committees, and working groups as assigned.
Project management
- Partner with internal teams and external stakeholders to plan and implement new outpatient services, programmes, or initiatives on schedule.
- Manage project activities, timelines, and documentation so they remain aligned with operational and clinical needs.
- Support post-launch monitoring, evaluation, outcome tracking, and progress updates for management.
Additional duties
- Provide operational or administrative coverage during busy periods or staff absences when required.
- Take on other tasks and assignments delegated by the Assistant Manager or Manager.
Requirements
- A bachelor’s degree in Healthcare Administration, Business Administration, or a related discipline is required.
- At least 4 years of experience is needed, preferably in service operations management within healthcare or community settings.
- Working knowledge of healthcare service delivery and care processes is important.
- Strong familiarity with Microsoft Office tools and healthcare IT systems such as SAP, Clinic Assist, and EPIC is expected.
- Good data handling skills are required, and experience with data analytics tools such as Tableau will be an advantage.
- Excellent written and verbal communication skills are needed.
- Strong analytical ability, coordination skills, and attention to detail are essential.
