Role Summary
The Executive Director is accountable for the community’s daily operations, occupancy, financial performance, business planning, staffing, service quality, and regulatory adherence. This role also requires prompt escalation of any concern that could create risk for the community. The position must follow all applicable federal, state, and local laws, along with organizational policies and procedures.
Management and Financial Duties
- Keep the community aligned with local, state, federal, regulatory, and accrediting standards.
- Prepare the community for inspections by regularly reviewing audits, policy updates, resident records, and environmental conditions.
- Track monthly financial results and explain budget variances.
- Oversee departmental budgets and support department leaders in staying within budget.
- Ensure accounts receivable are collected promptly.
- Put systems in place to monitor care quality, service delivery, and compliance, then review outcomes and address gaps.
- Look for opportunities to increase core and ancillary revenue.
- Maintain and improve occupancy in line with budget expectations.
- Encourage staff involvement in daily operations and decisions.
- Build teamwork through regular staff meetings and leadership participation.
- Provide direction, coaching, supervision, and performance feedback to staff.
- Keep team members informed so they can respond effectively to residents, families, and prospects.
- Support or manage recruitment, hiring, employee relations, and separations following policy.
- Ensure personnel files are properly created and maintained.
- Coordinate performance reviews and complete evaluations for department heads.
- Lead disciplinary processes across the community.
- Guide the management team in support of the organization’s mission, values, and community standards.
Resident Care Duties
- Ensure residents receive the quality of services they need and prefer.
- Protect resident rights and make sure staff and families understand them as well.
- Partner with the Wellness Director to coordinate move-ins, leases, and service plans.
- Respond quickly to requests from residents, families, and team members.
- Act as the communication link between leadership, residents, and families.
- Maintain competitive market intelligence, including rates, unit sizes, services, and amenities.
- Ensure Vitals is used accurately and on time.
- Support a strong first impression for the community and address presentation concerns.
- Work to maintain or increase occupancy to maximum levels.
- Collaborate with department heads on sales participation, the Community Marketing Action Plan, and the Sales Action Plan.
- Assign Manager on Duty coverage for weekends as scheduled.
Sales and Marketing
- Represent the community in public and community-facing settings.
- Promote the community within the local market.
- Ensure Sherpa is used accurately and on time.
- Help generate leads and support the sales close process.
Compliance and Safety
- Enforce OSHA requirements and safety practices.
- Maintain compliance with all laws and regulations governing assisted living operations.
- Follow emergency procedures at all times.
- Understand and apply safety policies and procedures.
- Review and investigate all on-site injuries.
Qualifications
- Any state-required license or certification, if applicable.
- Strong customer service and public relations abilities.
- Background working with older adults.
- Proven experience operating a customer-focused senior living environment.
- Comfort using Microsoft Office.
- Ability to meet current state regulations for licensed assisted living communities.
- Demonstrated integrity and leadership.
- Genuine commitment to serving the senior population.
- Ability to represent the community positively and communicate company values clearly to residents, families, visitors, and staff.
- Physically able to bend, reach, push, pull, and lift up to 40 to 50 pounds if needed.
- Able to stand for extended periods.
- Willing to spend at least 30% of work time traveling to referral sources in the local market.
