Position Overview

This is a permanent part-time administrative role based in Sarnia, Ontario, reporting to the Manager, Human Resources - Compensation & Benefits. The schedule is 24 hours per week and the pay rate is $30.81 per hour.

The Human Resources Associate serves as the first point of contact for College leaders, employees, and students regarding HR services. The role involves handling confidential questions, deciding when issues should be escalated, and taking ownership of general office operations. Administrative support is also provided to the Human Resources team across onboarding and offboarding, pension and benefits, payroll, HRIS, and labour relations support as needed.

Key Duties

  • Welcome visitors, assess their needs, and direct them to the right contact when needed.
  • Manage benefits and pension enrolment and maintenance, including monthly pension remittances.
  • Coordinate the full onboarding process for new hires through the online ticketing system and HRIS.
  • Respond to questions about training, timesheet submission, and payroll procedures.
  • Handle tuition subsidy reimbursement processing and maintain tracking records.
  • Receive, sort, and distribute incoming and outgoing mail.
  • Maintain personnel files and related filing systems.
  • Process invoices, secure required approvals, and forward them to Finance.
  • Support planning and delivery of the annual Employee Recognition and Retiree Event.
  • Provide additional assistance to other HR team members as required.

Qualifications

  • A minimum of a two-year post-secondary diploma in Human Resources, or an equivalent qualification accepted by the College, is required.
  • Progress toward CHRP or CHRL certification is considered an advantage.
  • At least three years of Human Resources administration experience is required at the time of hire, ideally including HRIS, benefits and pension administration, and employee onboarding.
  • Strong time management, organization, prioritization, and workload consolidation abilities are needed.
  • The ability to collect information, assess situations, and recommend suitable next steps is essential.
  • Excellent written and verbal communication skills, along with a consultative approach, are expected.
  • Hands-on experience with HRIS and strong Microsoft Office skills, especially Excel, are required.
  • Working knowledge of collective agreements and employment legislation is important.
  • Familiarity with benefits and pension plans is required.
  • High accuracy, strong attention to detail, and the ability to work with confidential information are necessary.
  • The role requires comfort in a fast-moving, high-volume environment with strong multitasking skills.
  • A client-focused mindset, sensitivity to diversity, and the ability to build relationships across all levels of the organization are essential.
