Role Overview

We are seeking a Proposal Specialist to develop persuasive, polished, and business-winning proposals that support growth in software development and IT services. In this position, you will work with leaders and teams across the organization to produce accurate, compelling responses to RFx requests and ensure every submission is consistent, strong, and deadline-ready.

Key Responsibilities

Track and evaluate RFx opportunities, including RFI, RFP, RFQ, and RFB documents, and coordinate with internal teams to build an effective response approach.
Create clear, concise, and convincing proposal content suited to both technical and business decision-makers.
Partner with subject matter experts from sales, technical, UX, product, and delivery teams, along with other stakeholders, to gather inputs and complete reviews.
Check proposals carefully to ensure they follow company standards for layout, accuracy, and presentation while meeting all submission timelines.
Improve and maintain proposal templates, reusable content, and workflow automation tools to strengthen consistency and efficiency.
Support sizing and pricing activities for small to medium application development and maintenance work under the direction of the Bids Lead.

Qualifications

A bachelor’s degree is preferred, ideally in Computer Science, Information Technology, English, or a closely related discipline.
6 to 10 years of experience in proposal writing, preferably within software development or IT services.
Strong English communication skills, both written and spoken, with the ability to present ideas clearly and professionally.
Ability to adjust writing style and tone to match different audiences and submission needs.
Working knowledge of Microsoft Office and Google Workspace.
Awareness of proposal automation tools and best practices for document formatting.
Strong planning, organization, and time management skills, with the ability to juggle multiple deadlines.
Comfort working collaboratively with cross-functional teams and leadership at different levels.

Preferred Experience

Prior experience preparing proposals for app development and maintenance projects.
Exposure to workflow automation tools or no-code platforms.
Understanding of RFx processes in Canadian or North American markets.
Advanced document formatting skills in Microsoft Word or Google Docs.

Working Arrangements

This is a fully remote role based in India.
The position reports to the Bids Lead.
Working hours must include a 2 to 3 hour overlap with Pacific Standard Time (PST) to support collaboration with North American teams and leadership.
Regular coordination will be required with cross-functional teams in Canada and India.
