About the Role
Ocean Infinity is seeking a Tender Coordinator to support a growing commercial team in Southampton. The role focuses on coordinating and submitting pre-qualification questionnaires (PQQs), requests for information (RFIs), and tender responses to a consistently high standard, on schedule, and in line with internal processes. You will work closely with the Global Business Development team and contribute directly to winning new business opportunities.

Key Responsibilities
- Track, coordinate, and organise incoming enquiries through a central channel, including PQQs, RFIs, and tender opportunities, while ensuring each request is reviewed, prioritised, allocated when needed, and accurately recorded in CRM and SharePoint.
- Act as the main coordination contact for assigned enquiries and ensure timely handling of PQQs, RFIs, and tender submissions.
- Draft and submit PQQs and RFIs in line with client requirements and internal procedures, making sure inputs are gathered efficiently and delivered on time.
- Manage pre-qualification and client portals/platforms, working with internal stakeholders to keep information updated correctly and promptly.
- Support Tender Managers with tender-process activities such as contacting potential subcontractors according to internal rules and collecting input from relevant internal teams.
- Ensure strict adherence to client requirements throughout the tender process where applicable.
- Pass collected information to Tender Managers for inclusion in submissions.
- Maintain company information and documents used for PQQs and tenders, keeping them accurate and easy to access.
- Assist the Business Development team by preparing and sharing documentation and information as required.
- Where relevant, attend meetings with clients, subcontractors, suppliers, and internal teams to support tender and business development work.
- When required, collaborate with Tender Managers on low-complexity proposals or short-form bids, including preparation of budgetary quotations.
- Keep CRM records updated so all information remains current, accurate, and accessible.
- Help improve standard templates, forms, and content used in tendering processes.
- Review win/loss outcomes, share findings, and support improvements to tender approach and win rate.
- Contribute to post-bid reviews and help embed lessons learned into best practice.
- Attend exhibitions and conferences where relevant.
- Monitor market movements, competitor activity, and pricing trends to support tender strategy and submissions.
What We Are Looking For
We are looking for a motivated professional who understands offshore operations or the offshore industry. The right person will communicate clearly in English, both in writing and speaking, and will handle sensitive information with discretion, accuracy, and integrity. Success in this role also requires a collaborative mindset, strong ownership, good judgment, and the confidence to work independently when needed.
You should be capable of analysing and summarising information from multiple sources to help the Commercial Team make informed decisions. Strong critical thinking, initiative, organisation, time management, and the ability to prioritise in a busy environment are important. Familiarity with the tender lifecycle and/or Invitation to Tender (ITT) documentation is also expected or highly beneficial.
Salary and Other Information
Compensation for this role is up to £45,000 per year. The final salary may vary depending on the regional location and job grade, and will be based on the skills, ability, and experience required.
