Role Overview
AECOM is looking for an experienced Scheduling Manager to support its Dublin office. This role is responsible for making sure programme schedules for capital projects are accurate, timely, dependable, and aligned with wider project objectives.
The position provides leadership to embedded scheduling teams, ensures consistent use of scheduling methods, tools, and standards, and protects the quality of schedule data and performance reporting. It also plays a major part in improving scheduling practices and strengthening programme controls across the function.
Key Responsibilities
The Scheduling Manager will work closely with the Programme Controls Manager to support workforce planning, including hiring, deployment, and development of scheduling staff. The role also helps coordinate scheduling communication across programme controls and other teams so that decisions are made with clear and up-to-date information.
Functional Requirements, Standards & Performance
- Direct the creation, upkeep, and oversight of complicated programme schedules spanning multiple projects, ensuring they support strategic goals and successful delivery.
- Prepare and coordinate executive-level progress updates that clearly highlight programme status, major risks, mitigation actions, and decision points.
- Set up strong governance and quality control practices for schedule creation, monitoring, measurement, and reporting across the full programme portfolio.
- Improve scheduling processes by reviewing current methods, systems, and workflows, then introducing changes that increase efficiency, accuracy, and overall performance.
- Lead the use of scheduling standards so that all projects and programmes follow consistent, compliant, and best-practice approaches.
Programme Scheduling & Controls
- Track, review, and assess programme schedules to spot critical path concerns, new risks, and possible slippages, while making sure recovery and mitigation plans are put in place.
- Create high-quality programme controls analysis and executive reports that turn complex information into practical insights for senior decision-makers.
- Own the development and maintenance of integrated master schedules by combining inputs from project teams, contractors, consultants, and other external parties.
- Review schedule deviations against approved baselines, identify trends and constraints, and recommend corrective actions to keep the programme on track.
- Work with delivery teams to build and maintain resource-loaded and cost-loaded schedules where needed for forecasting and performance control.
- Guide the creation and implementation of Work Breakdown Structures and Cost Breakdown Structures so they align with delivery strategy, governance needs, and reporting formats.
- Help connect scheduling with cost management, risk management, change control, and performance reporting so programme controls work as one integrated discipline.
Leadership, Collaboration & Stakeholder Management
- Strengthen the scheduling team through leadership, coaching, and professional development support.
- Encourage accountability, teamwork, ongoing improvement, and high standards in schedule management and programme controls delivery.
- Develop strong relationships with internal teams, programme leaders, contractors, consultants, and other stakeholders to support successful outcomes.
- Serve as a trusted specialist on scheduling and programme controls, offering expert advice and recommendations to stakeholders at all levels.
- Ensure scheduling updates and responses are timely, accurate, professional, and useful for stakeholder decision-making.
Qualifications
- A minimum of 15 years of professional experience in project planning, scheduling, and programme controls, including at least 3 years supporting major aviation, transportation, or large infrastructure programmes.
- Strong background in creating and managing schedules for complex, high-value capital projects, with a solid understanding of infrastructure project lifecycles.
- Proven experience combining multiple schedule inputs, performance metrics, and project data within an enterprise scheduling environment to produce reliable programme schedules and executive reporting.
- Extensive experience in multidisciplinary project settings, whether in consultancy, client-side, or contractor environments, along with a clear understanding of stakeholder needs and governance frameworks.
- Excellent analytical and problem-solving ability, with the capacity to interpret complex schedule data and turn it into useful programme insight.
- Experience working with varied project teams and external stakeholders to improve schedule alignment, raise performance, and support successful delivery.
