Job Summary
The role calls for an experienced Document Controller to oversee the full document lifecycle across projects. You will be responsible for organizing, tracking, issuing, and archiving project records while making sure all document handling aligns with internal procedures, document control standards, and contract obligations.
Key Responsibilities
- Set up and run a reliable document control process for all project records.
- Log, sort, receive, and route both incoming and outgoing documents.
- Make sure documents are reviewed, approved, and released in line with established procedures.
- Keep document registers, logs, and tracking tools current and accurate.
- Manage document revisions so the most recent approved version is always available for project use.
- Work with project teams, consultants, contractors, and clients on submissions and approvals.
- Store project documents securely in digital and physical formats according to company policy.
- Draft transmittals, correspondence, and status reports related to document control.
- Track submission timelines and chase overdue documents when needed.
- Support engineering and project teams by ensuring documents are accessible on time.
- Help with project audits by supplying complete, well-organized records.
- Protect the confidentiality and security of project information and records.
- Follow quality management requirements, document control processes, and contractual obligations.
Requirements
This position is best suited to candidates with a diploma or bachelor’s degree in Business Administration, Information Management, Engineering, or a similar discipline, along with at least 5 years of experience handling document control in construction or engineering environments. Prior exposure to consultants, contractors, and multidisciplinary project teams is important. Familiarity with document control standards, quality management systems, and electronic document management systems is preferred.
Technical Skills
- Confident use of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Hands-on experience with EDMS or document platforms such as Aconex, Procore, SharePoint, Autodesk Construction Cloud (ACC), or comparable tools.
- Solid understanding of document numbering, revision management, filing structures, and transmittal workflows.
- Strong capability in data entry, records handling, and report preparation.
