What you will do

  • Process invoices, reimbursements, and related financial tracking, while coordinating with accounting contacts to keep records accurate and follow-ups timely.
  • Support board and leadership meetings by preparing agendas, organizing materials, capturing discussion notes, and sharing clear records afterward.
  • Advance special projects from start to finish by tracking deadlines, surfacing issues early, and keeping leaders updated on progress.
  • Help plan and run virtual and in-person events, including tours, informational sessions, and community-oriented gatherings.
  • Draft correspondence, donation thank-you notes, background documents, and informational packets that assist leadership outreach and advocacy work.
  • Keep digital and paper files well organized, make basic website updates, and assist with social media or other communications tasks when needed.
  • Direct incoming requests to the right people and provide broader administrative help for related business needs, including support connected to property or asset management.

Experience and qualifications

  • You should bring at least 2 years of administrative support experience serving senior leaders or executive-level stakeholders.
  • A bachelor’s degree is required.
  • Academic work or a degree focus in English, Communications, Arts Administration, or a similar field is preferred.
  • Experience with executive scheduling, calendar coordination, expense reporting, invoice processing, event support, and project-based administrative work is expected.
  • You need strong written and verbal communication skills and the ability to represent leadership professionally.
  • Comfort working with accounting-related workflows and cross-functional teams is important; experience with Avid or Concur is considered an advantage.
