About the company
Zenisth AI is the technology division behind AI-led products such as document translation, intelligent document processing (IDP), automation flow tools, and calling agents. These products are currently in active MVP stage with launches in progress.
Zenisth Studio is a BIM and digital construction services company headquartered in Ahmedabad. Its work includes BIM coordination, permit documentation, clash detection, architectural visualization, and VR/AR services for clients across the US, UK, Europe, Australia, and the Middle East.
Role overview
This position is an end-to-end HR Manager role covering both businesses. Around 70% of the focus will be on IT and product hiring, while the remaining 30% will support the architecture and BIM production team.
The mandate is to create a scalable HR setup from the ground up rather than simply manage an existing process. By the time the team reaches 40 people, the expectation is that HR systems, compensation structures, structured onboarding, and a reliable hiring pipeline will already be in place without constant founder involvement.
This role is best suited to someone who has already built HR processes in a growing tech environment and is comfortable working in a fast-moving founder-led setup.
Key responsibilities
You will lead IT hiring, build HR systems, support payroll and compliance, and help shape retention and performance practices across both companies.
- Take ownership of hiring for technical positions such as software developers, AI/ML engineers, automation specialists, QA engineers, product managers, and tech leads.
- Prepare and manage job descriptions for technical roles in coordination with the tech team, ensuring role expectations are clearly defined.
- Create and sustain a proactive pipeline of IT talent through recruitment networks, referrals, and recruiter tools rather than relying only on live job postings.
- Run a structured hiring process that includes resume review, technical evaluations, interview coordination, feedback discussions, and offer handling.
- Set up and administer an HRMS platform suitable for a 40-member IT team, with preference for Keka, Darwinbox, or Zoho People.
- Design compensation bands for IT roles using market benchmarks relevant to Ahmedabad and other Tier-2 city salary ranges, and alert leadership when bands need revision.
- Own onboarding for technical hires, including equipment coordination, access provisioning, role-based onboarding plans, and 30/60/90-day follow-ups.
- Develop and maintain IT-focused HR documents and policies covering IP assignment, NDAs, moonlighting, remote work, and data-handling rules.
- Track key HR metrics such as hiring turnaround time, offer acceptance rate, early attrition, and planned versus actual headcount.
- Build a learning and development structure for technical teams, including skill-gap review, training allocation, and progression planning.
- Coordinate monthly payroll and ensure PF, ESI, professional tax, and gratuity compliance for Gujarat in partnership with the accounts team.
- Manage the complete employee lifecycle from offer letters and agreements to probation reviews, salary increments, and full-and-final settlements.
- Conduct quarterly performance review cycles with proper documentation and KPI tracking.
- Maintain organized, audit-ready employee records, policy files, and HR documentation.
- Handle exits, including knowledge transfer, exit interviews, and IP handover.
- Support culture-building and retention efforts by identifying issues, recommending improvements, and implementing solutions.
What the company is looking for
The ideal candidate should have hands-on HR experience in a tech-driven environment and should be comfortable building systems from scratch.
- 3 to 7 years of overall HR experience, including at least 2 years in an IT company such as a SaaS business, software services firm, product startup, or technology company.
- Proven experience hiring developers, engineers, or AI/ML professionals, along with the ability to explain the roles you have supported and the outcomes achieved.
- Experience managing HR for teams of about 30 to 50 people and understanding the challenges that come with scale.
- Practical exposure to implementing or managing an HRMS, not just using it as a basic admin tool.
- Working understanding of Indian payroll compliance, including PF, ESI, gratuity, and professional tax in Gujarat.
- Strong writing ability for drafting policies, job descriptions, offer letters, and internal HR communication.
- Comfort with a fast-paced, founder-led environment where priorities can change quickly and processes must be built rather than inherited.
