Role Overview
The Operations Assistant will support business operations across contract handling, data analysis, after-sales processes, logistics, spare parts, and project coordination. This role also involves process improvement, documentation, testing, and helping ensure smooth system and workflow performance.
Key Responsibilities
- Collect, interpret, and record business requirements related to management reporting, data analysis, and project contract administration.
- Assess current workflows, spot process gaps, and suggest practical improvements to systems and operations.
- Administer after-sales activities, including payment processing, reimbursement approvals, and payments for major projects.
- Track after-sales logistics, monitor shipments and receipts, support warranty follow-ups, and coordinate recovery of used equipment.
- Manage spare parts activities such as purchase order preparation, stock verification, quarterly inventory counts, and warehouse movements for inbound, outbound, and transfers.
- Support project coordination by entering PO contracts and tracking project milestones and progress.
- Prepare user guides, deliver training, and assist with rolling out functional solutions while supporting testing and implementation to maintain quality and ease of use.
- Use data modelling and specification methods to assist system development, handle system enhancements, and keep business and project data accurate.
Requirements
- A bachelor’s degree in Business, Logistics, or a closely related discipline.
- At least 1 year of experience in project coordination, operations, or logistics.
- Experience working with SAP will be considered an advantage.
- High accuracy and strong organizational ability.
- Good communication skills and the ability to coordinate effectively with teams.
- Comfort working on several tasks at once.
- Valid Australia working visa for 3 years is required.
