Role Summary
The Procurement & Logistics Coordinator will handle sourcing of materials, gathering and comparing supplier quotations, managing purchase orders, monitoring shipments, and making sure the required materials reach the right place on time for projects and day-to-day operations. The position emphasizes efficient purchasing, supplier management, logistics support, cost control, and accurate recordkeeping.
Key Responsibilities
Procurement
- Identify and source appropriate suppliers within Qatar and overseas.
- Request, receive, and evaluate quotations from several vendors.
- Build quotation comparison sheets and assess supplier options.
- Discuss and finalize pricing, lead times, and payment terms with suppliers.
- Prepare and issue purchase orders, then follow through until confirmation.
- Chase suppliers to ensure orders are acknowledged and delivered as planned.
- Keep supplier databases and procurement documentation updated.
- Review market pricing and look for ways to reduce costs.
Logistics and Shipment Coordination
- Arrange shipments for both domestic and international requirements.
- Liaise with freight forwarders, shipping providers, and courier partners.
- Monitor shipment progress and share status updates regularly.
- Support customs clearance paperwork when needed.
- Ensure materials arrive on time at warehouse, production, or project locations.
- Handle shipment delays and other logistics-related problems.
- Maintain shipment logs and delivery tracking reports.
Inventory and Material Coordination
- Track stock levels and material availability.
- Work with warehouse and production teams to understand material needs.
- Support inventory planning and replenishment activities.
- Check delivered items against purchase orders and supplier documents.
- Record and report shortages, damage, or mismatches.
Documentation and Reporting
- Organize procurement files, quotations, supplier records, and purchase orders.
- Prepare weekly updates covering procurement and logistics activities.
- Keep procurement trackers and shipment trackers current.
- Maintain clear records of supplier performance and delivery history.
Performance Expectations
- Secure at least three quotations for major purchases.
- Issue purchase orders within the expected timeline.
- Support savings through supplier negotiation.
- Track supplier responsiveness and delivery results.
- Maintain strong on-time shipment performance.
- Minimize shipment delays.
- Provide accurate shipment tracking updates.
- Keep procurement records accurate.
- Submit reports and updates on time.
Qualifications
Applicants should have experience in procurement, purchasing, logistics, supply chain, or warehouse coordination. Hands-on exposure to RFQs, purchase orders, supplier communication, and shipment tracking is important. Strong negotiation and communication abilities are required. Good Excel skills are essential, and ERP system experience is an added advantage. Prior experience in the Qatar market is preferred.

Reporting Line
This role reports to the Operations Manager or General Manager.
Employment Details
Full-time position based in Doha, Qatar. The probation period may extend up to 6 months, subject to Qatar Labor Law. The offered salary range is QAR 5,000 to QAR 6,000 per month.
