Role Overview
Authentic is hiring an experienced Executive Assistant to support the Executive Director and the EVP of Brand Management for the David Beckham brand. The position sits within a busy and high-performing team and requires someone who can manage complex schedules, stay ahead of changing priorities, and keep daily operations running smoothly. The right person will be highly organised, resourceful, a strong communicator, and exceptionally detail-oriented.
Key Responsibilities
- Deliver senior-level administrative support to two executive leaders.
- Coordinate demanding and frequently changing calendars.
- Set up Zoom meetings and other forms of internal and external meetings.
- Prepare briefing packs, meeting materials, and background documents in advance.
- Organise domestic and international travel, including detailed itineraries.
- Keep digital files, paper records, archives, and databases organised and up to date.
- Carry out research and background checks to support meetings, travel, and related planning.
- Handle personal and private scheduling needs such as medical visits, restaurant reservations, or holiday bookings when needed.
- Support the processing of expenses and invoices alongside the Finance team.
- Arrange refreshments for executives, guests, and meetings where required.
- Take care of day-to-day errands such as post office trips and coffee or lunch runs.
- Manage any other tasks connected to executive assistant support as required.
Requirements
- Minimum 5 years of experience in a busy PA or EA position, ideally within media or talent-focused environments.
- Experience supporting two or more senior-level stakeholders.
- Strong understanding of the industry and key contacts within it.
- Excellent diary management and administration skills, with the ability to prioritise well and adapt to last-minute changes.
- Confident communication style and the ability to adjust appropriately to different situations.
- Strong Microsoft Office ability, especially in Outlook, Word, and PowerPoint.
- Clear verbal and written communication skills.
- Excellent attention to detail and a strong focus on deadlines.
- Ability to handle sensitive information discreetly and professionally.
- Flexible, collaborative, and comfortable working with others.
- Strong interpersonal and written skills, with the ability to interact effectively at all levels.
- Professional, calm under pressure, and resilient.
- Commercial awareness, including budget sensitivity and negotiation ability.
- Strong presentation standards and a willingness to go the extra mile.
- Self-starter with good initiative and a positive sense of humour.
