Role overview
The Facilities Analyst is responsible for delivering dependable facility support across the site, while helping maintain a safe and healthy environment for everyone in the building.
Core duties
- Handle facility service requests assigned by the manager.
- Coordinate maintenance-related requests, including preventive maintenance, equipment logs, and time records.
- Help obtain suitable and competitive quotations from vendors for upcoming work.
- Serve as the primary contact for vendors at the assigned site, including security, cafeteria, and custodial providers.
- Track vendor performance and work to improve delivery and service quality when needed.
- Support the resolution of operational issues by using corrective measures or extra resources as directed by the line manager.
- Keep complete and accurate records for active projects, such as quotations, material expenses, subcontractor labor, receipts, delivery notes, and completion reports.
- Work with relevant contacts to support all building and equipment certifications required by local law.
- Supervise subcontractors on site when required.
- Carry out and document routine inspections across the buildings on daily, weekly, fortnightly, monthly, quarterly, and yearly schedules to maintain safety and compliance.
- Complete stock audits and asset inventory checks as assigned by department leaders.
- Carry out minor repairs, including replacing overhead bulbs, supporting fire safety measures, repairing desks and office chairs, and addressing basic plumbing issues.
- Organize and oversee emergency drills as needed.
- Ensure the proper display of signage throughout the buildings.
- Confirm that first aid supplies are always adequately stocked.
- Oversee incident and accident investigations and recommend corrective action where appropriate.
- Process card access requests and changes, and monitor access activity across the site.
- Handle additions and terminations in access control systems.
- Monitor CCTV cameras and act as the contact point when footage must be retrieved.
- Track access terminations and update reports for all locations, including disabling cards for 90 days or more.
- Update training room schedules for the assigned site.
- Respond to facility tickets assigned each day.
Education and experience
- A Bachelor’s Degree, First Degree, Trade/Vocational School certificate, or an equivalent qualification is required.
- Applicants should have at least 4 years of experience in a comparable role.
- Working knowledge of the MS Office Suite is needed.
- Basic certification in electrical and plumbing is an advantage.
- Having access to a vehicle is also an advantage.
Additional requirements
- Flexibility to work shifts when needed.
- Willingness to work beyond standard hours, including night shifts.
- Ability to report to different work locations if required.
- The role involves frequent standing, reaching, bending, sitting, and walking during the shift.
- Occasional lifting, pushing, or pulling of objects up to 35 lbs may be required.
- Manual dexterity and visual sharpness are necessary to use tools and equipment safely.
- Good visual acuity is required for reviewing data and working on a computer screen.
