Armand Corporation, a distinguished M/WBE Construction Management firm with over 35 years of industry leadership, is seeking a full-time, proactive, and detail-oriented Human Resources Coordinator. This role is based in our New York City office and will provide comprehensive support for recruiting, onboarding, employee relations, compliance, and performance management functions. The ideal candidate will possess the ability to work autonomously, manage multiple tasks concurrently, and effectively support a dynamic workforce that includes both internal employees and contingent staff.
This position operates from our Midtown office, with standard working hours from Monday to Friday, 8:30 am to 5 pm. Armand Corporation employs a hybrid work model, requiring a minimum of three days per week in the office and two days remote.
We are looking for an individual who is highly organized, demonstrates excellent judgment, communicates professionally, and takes initiative to fulfill responsibilities with minimal oversight.
Essential ResponsibilitiesRecruitment & Talent Acquisition
- Collaborate with management to implement effective recruitment strategies for both internal and contingent positions.
- Oversee job postings and candidate management within the Applicant Tracking System (ATS).
- Proactively source candidates through various channels including job boards, professional networks, industry associations, referrals, and other recruitment avenues.
- Review resumes and assess candidate qualifications against specific role requirements.
- Conduct initial interviews via phone, video, and in-person formats.
- Schedule and coordinate interviews between candidates and hiring managers, as well as client representatives (both internal construction management and contingent workforce).
- Maintain candidate pipelines and ensure prompt communication throughout the hiring lifecycle.
- Prepare concise candidate summaries and recommendations for management approval.
Onboarding & Employee Administration
- Manage and execute new hire onboarding processes, including all necessary documentation.
- Verify the completeness and accuracy of all onboarding paperwork.
- Maintain up-to-date employee records and HRIS data.
- Track essential certifications, licenses, and required training records for all personnel.
Compliance & Recordkeeping
- Ensure personnel files are maintained in strict adherence to company policies and all relevant employment laws.
- Verify compliance with federal, state, and local employment regulations.
- Monitor personnel files for completeness and identify any missing documentation.
- Provide support for internal and external audits and compliance reviews as needed.
Performance Management
- Track performance review schedules and ensure timely submission of evaluations.
- Follow up with managers to ensure outstanding performance reviews are completed.
- Maintain comprehensive documentation and records related to performance management processes.
Employee Relations & Communication
- Act as a primary point of contact for employee inquiries regarding HR matters.
- Assist in the resolution of employee concerns and workplace issues.
- Draft professional and clear communications for employees and leadership.
- Support the execution of employee engagement initiatives and company-wide programs.
- Possession of a Bachelor's degree in Human Resources, Business Administration, or a closely related field.
- A minimum of 2 to 3 years of professional experience in Human Resources and/or Recruiting.
- Demonstrated experience in conducting interviews and evaluating candidate suitability.
- Proficiency in using Applicant Tracking Systems (ATS) and HRIS platforms, such as Paychex Flex.
- Excellent written and verbal communication abilities.
- Strong organizational skills and a proven ability to follow through on tasks.
- Competency in the Microsoft Office Suite.
- Previous experience supporting contingent staffing, professional services, engineering, construction management, or project management organizations is advantageous.
- Familiarity with systems like JazzHR, Paychex, or similar HR software.
- Holding a SHRM-CP, PHR, or a comparable HR certification.
