About The Role
This is a fully remote, full-time position ideal for individuals who excel in dynamic, high-volume settings and can independently manage administrative and operational tasks with meticulous attention to detail. You will support various departments within a growing commercial services company, including Operations, Billing, and Customer Communication. The standard working hours for this role are 6:00 AM - 2:00 PM PT (9:00 AM - 6:00 PM EST).
Key Responsibilities
- Execute and monitor administrative tasks across different departments, ensuring all requests are addressed within specified timeframes.
- Maintain precise data entry and update records in the CRM and internal company systems.
- Professionally and promptly respond to customer and internal inquiries received via email and chat.
- Facilitate scheduling, follow-ups, and documentation management to ensure seamless operational flow.
- Keep customer files, notes, and records meticulously organized and readily accessible.
- Generate clear, accurate, and error-free customer-facing documentation and reports.
- Identify and escalate potential issues or delays to the relevant coordinator.
- Undertake other related or similar duties as assigned.
Requirements
- Fluency in both English (C1/C2 level) and Spanish is essential.
- Possess 2 to 5 years of experience in operations, administrative support, or customer-facing roles.
- Demonstrate comfort working with minimal supervision and effectively managing multiple priorities concurrently.
- Exhibit the ability to make sound, independent decisions and adapt to evolving or partially documented workflows.
- Prior experience with project management tools such as Asana, Notion, or Trello is advantageous.
- Proficiency in using Google Workspace and Microsoft Office suites.
- Possess strong communication and problem-solving capabilities.
- Must have a quiet home office environment with reliable internet connectivity (minimum 10 Mbps download / 2 Mbps upload) and a backup connection.
- A Bachelor's or Associate's degree is preferred.
