Job Summary

The Commercial Sales Coordinator plays a key support role across the Commercial Division, covering Sales, Events, Marketing, and Revenue Management. This position acts as the main link between teams, helping information move smoothly, keeping records up to date, managing agreements, supporting marketing materials, and preparing important revenue-related reports. It is a busy, hands-on role that calls for strong multitasking ability, close attention to detail, and a proactive mindset.

Sales and Events Administration

  • Receive incoming sales and event enquiries, record them correctly in the CRM, and pass them on to the relevant managers.
  • Prepare proposals, group sales agreements, and event orders using the team’s standard templates.
  • Arrange VIP amenities, show rooms, and welcome materials for clients attending hotel site inspections.
  • Keep the sales and catering systems, such as Opera Sales & Catering or Delphi, accurate and current so client records and booking information remain reliable.

Marketing Support

  • Manage stock and distribution of sales kits, brochures, branded gifts, and digital marketing resources.
  • Support the marketing team by planning social media posts, monitoring press and media mentions, and assembling press kits.
  • Assist with proofreading and sending out flyers, menus, and e-newsletters to clients.

Revenue Management Assistance

  • Pull daily, weekly, and monthly reports such as pickup and pace reports from the PMS for the Revenue Manager.
  • Help collect information on competitor pricing and market movements when requested.
  • Verify that rates, packages, and promotions are shared correctly with the reservations team for system loading.

General Division Administration

  • Organize weekly commercial and revenue meetings, prepare agendas, and document detailed minutes.
