Role Overview
The Document Control Clerk will oversee the handling of project documentation for a major natural gas pipeline construction initiative in Edmonton, Alberta. The role focuses on ensuring documents are stored, tracked, shared, and maintained accurately so they remain traceable, current, and compliant with project and regulatory expectations.
The ideal candidate brings 2 to 3 years of document control experience in construction or industrial environments, along with practical intermediate-level knowledge of electronic document management systems, especially Procore.
Key Responsibilities
- Establish, run, and update document control procedures in line with project requirements.
- Manage document upload, tracking, distribution, and archiving through EDMS tools, with Procore as the primary platform.
- Keep drawings, specifications, RFIs, submittals, and correspondence up to date and correctly revised.
- Coordinate document movement across engineering, construction, quality, safety, and project management functions.
- Track document status, review cycles, approvals, and transmittals.
- Create and maintain logs, trackers, and status reports for document control activity.
- Carry out quality reviews to confirm documents are accurate, complete, and compliant.
- Protect the confidentiality and integrity of project records.
- Assist with audits and regulatory checks by preserving proper traceability of documents.
- Support project teams with EDMS navigation and document retrieval as required.
Required Experience and Skills
- 2 to 3 years of experience in a document control position, ideally in pipeline, construction, or industrial projects.
- Practical intermediate experience working with electronic document management systems.
- Intermediate Procore experience is preferred.
- Solid understanding of document numbering, revision management, and approval processes.
- Strong working knowledge of Microsoft Office tools, including Excel, Word, and Outlook.
- Excellent organizational ability and strong attention to detail.
- Comfortable managing large document volumes in a busy project setting.
Preferred Background
- Experience on natural gas, oil and gas, or pipeline projects is an advantage.
- Familiarity with Alberta construction documentation practices or regulatory standards is beneficial.
- Exposure to engineering and construction drawing sets such as IFC, shop drawings, and as-builts is useful.
- Experience with Procore, SharePoint, or similar EDMS platforms is considered an asset.
