Role Overview
This position is responsible for coordinating event logistics, protocol support, and on-ground execution for a wide range of corporate and executive activities. The role ensures high service quality, adherence to internal policies, and smooth delivery for senior stakeholders, guests, and visiting delegations.
Key Responsibilities
- Assist in planning, coordinating, and delivering logistics and protocol activities across the organization while maintaining strong service standards and policy compliance.
- Arrange protocol support for VIPs, Board Members, EXCOM members, dignitaries, guests, and visiting delegations.
- Organize the logistics and operational setup for Board meetings, EXCOM sessions, roadshows, conferences, town halls, corporate events, and official ceremonies.
- Manage event planning details such as venue selection, catering, transport, accommodation, event branding, registration, vendor follow-up, and on-site coordination.
- Support the successful execution of corporate events, employee engagement initiatives, leadership forums, business meetings, and strategic programs.
- Oversee travel, protocol, logistics, and event vendors to ensure consistent service quality, contractual compliance, and quick resolution of issues.
- Develop effective working relationships with internal teams and external suppliers to strengthen service delivery and event outcomes.
- Respond to executive requests, VIP visits, and high-visibility events with discretion, professionalism, and confidentiality.
- Keep departmental files, contracts, reports, and event records updated in line with governance and compliance expectations.
- Monitor and report KPIs covering travel, logistics, protocol services, event delivery, vendor performance, and operational efficiency.
- Review completed events and contribute to continuous improvement actions that enhance attendee experience and operational performance.
Self-Management Expectations
- Set performance objectives with the reporting manager at the beginning of the year and work steadily toward achieving them.
- Take ownership of personal development by identifying skill gaps and closing them through learning and practical improvement activities beyond formal training.
- Understand the competencies required for the role and actively work on demonstrating and strengthening them.
- Stay updated on industry developments, emerging methods, and relevant current topics through ongoing learning and professional networking.
Risk and Internal Control Responsibilities
- Follow risk policies and established procedures to reduce operational, regulatory, financial, informational, reputational, and audit exposure as directed by the department manager.
- Apply internal control procedures and provide supporting information for departmental audits when required.
Qualifications and Experience
A diploma is required for this role. The ideal candidate should have very good written and spoken English skills and at least 3 years of relevant experience with a diploma qualification.
