About the role
Hitachi Energy’s Grid Automation business unit delivers a wide set of solutions across substation automation, communications networks, grid automation services, grid-edge offerings, and enterprise software. The Executive Assistant will provide proactive, senior-level administrative and operational support. This position is important in building effective stakeholder relationships and improving coordination, responsiveness, and day-to-day operational performance across the business.
What you will do
- Prepare, review, and refine documents, presentations, and reports.
- Plan and manage executive calendars, including meetings, appointments, and travel.
- Coordinate internal and external meetings by setting agendas, capturing minutes, and ensuring travel and expense processes are completed accurately and on time.
- Assist with special initiatives, research work, and data analysis.
- Support onboarding for new employees by helping ensure the right access and equipment are ready.
- Serve as the main contact for the service team across APAC, including communication handling, SCM-related support, PR/PO processing, and office supplies coordination.
- Handle confidential and sensitive information with care and discretion.
- Promote HSE compliance by ensuring training attendance, reporting and following up on incidents and hazards, leading risk assessments, and strengthening a culture of accountable safety reporting.
- Support the company’s Zero Harm commitment by modelling high safety standards, reinforcing safety as a core expectation, and taking on additional duties consistent with the role and your qualifications.

Candidate profile
A bachelor’s degree is preferred. The ideal candidate has at least 3 years of experience in an executive assistant or comparable position. Strong command of Microsoft Office tools, especially Word, Excel, PowerPoint, and Outlook, is required. You should be highly organized, able to manage time well, and comfortable working professionally with people at all levels inside and outside the organization. Strong problem-solving ability, attention to detail, and excellent spoken and written communication skills are essential, along with solid presentation-building skills in PowerPoint.
