About the Role

Formula 1 is seeking a Receptionist for its London office to join the Facilities Management team on a 12-month fixed-term contract. Reporting to the Front of House Supervisor, the position is focused on delivering a polished reception experience and broader front-of-house support in a premium corporate setting.

Key Duties

  • Welcome visitors and employees in a professional, friendly and courteous manner.
  • Provide refreshments to invited guests and arrange secure storage for personal belongings when needed.
  • Manage visitor, employee and contractor access passes for F1 HQ in line with internal procedures.
  • Answer incoming calls promptly, professionally and with discretion.
  • Handle incoming emails efficiently and escalate concerns to the Front of House Supervisor where appropriate.
  • Assist the Front of House Supervisor with ad hoc requests from senior stakeholders, including administration, catering and concierge support for VIP visitors.
  • Arrange meeting and room bookings, maintain calendars and coordinate with staff regarding changes and guest visits.
  • Support catering, VIP meeting room preparation and event set-up.
  • Help with event delivery alongside the Front of House team.
  • Coordinate incoming and outgoing post, including DHL, Addison Lee and Royal Mail bookings, while maintaining attention to post security.
  • Prepare Purchase Order Requests and process Purchase Orders through the company Purchase to Pay system for SJM goods and services.
  • Book taxis as required and keep related records and invoices updated.
  • Raise building and cleaning issues with the facilities team.
  • Assist with catering, stationery and stock control, along with other occasional purchases.
  • Liaise with on-site cleaners and other service providers as needed.
  • Support departmental administration, including credit card and petty cash reconciliation.
  • Record and escalate incidents, accidents and significant near misses to Health & Safety.
  • Distribute race passes and uniforms before race weekends.
  • Build and maintain strong working relationships with key stakeholders.
  • Serve as a Fire Warden.
  • Provide VIP à la carte support for the CEO and guests when required.
  • Assist the CEO office with ad hoc administration, post and courier queries, bookings, and meeting room changes.
  • Work in line with discretion, security and access control procedures, as well as etiquette standards.

Required Experience and Skills

  • Strong administrative capability.

  • Experience with document formatting and editing.
  • Background in corporate hospitality.
