Role Overview
This position supports the Senior Architect and Project Manager across design development, project coordination, execution oversight, and commercial control for store fit-out and related project work. The role involves hands-on involvement in drawings, approvals, site coordination, budgeting, documentation, and vendor follow-up to help ensure projects are delivered accurately, on time, and within the approved cost.
Design and Drawing Support
- Assist the Senior Architect and Project Manager with drawing-related work.
- Prepare space plans, sketches, and architectural drawing packages for authority, mall, and execution submissions.
- Review MEP and lighting drawings received from consultants.
- Update drawings after concept approval in line with mall feedback and comments.
Project Planning and Approvals
- Carry out the first assessment of the store area and submit the FIR to begin design work.
- Conduct joint measurements with the mall.
- Prepare and manage all documents needed for approvals from CD, municipality, and MEP authorities.
- Support project planning by creating schedules and identifying critical milestones.
- Ensure the space plan is efficient and execution is optimized while keeping budget allocation in mind.
Procurement, Tendering, and Fixture Support
- Invite tenders for non-standard items.
- Perform rate analysis for fit-out and fixtures to help control costs.
- Assist with fixture development.
- Support tendering and local order BOQs, and provide vendors with the required manufacturing details.
- Track warehouse stock for old and reusable fixtures and update the fixture stock report every quarter.
Project Execution and Site Coordination
- Support the Project Manager in tracking progress and preparing project reports.
- Monitor site execution to ensure store design requirements are followed without errors.
- Prepare civil and interior BOQs accurately using drawings and complete measurement sheets.
- Share weekly project updates with the concept and territory office, including photos and key bottlenecks.
- Follow project schedules and adapt when site conditions require immediate action.
- Confirm that the correct material specifications are used on site and assess them for future reference.
- Resolve issues as needed and be prepared to take full ownership of a project independently when required.
- Conduct market and competitor research to identify cost-effective products, solutions, vendors, and materials.
- Complete post-project documentation, including as-built drawings and bill closures.
- Prepare and follow snag lists after project completion according to set standards.
Financial and Commercial Control
- Support preparation of capex files with supporting justification before any order is released.
- Obtain the required approvals for project expenditures.
- Ensure work is completed within the budget assigned to the concept.
- Report any budget variances during the project lifecycle.
- Use standard measurement sheets for intermediate and final bill submissions.
- Carry out rate analysis for execution items to validate awarded rates.
- Certify vendor bills when required.
Coordination and Stakeholder Management
- Coordinate closely with the Project Manager on BOQs, schedules, tendering, and site management.
- Work with VM, warehouse teams for fixture stock, logistics, consultants for MEP and structure, vendors, and finance teams.
Work Style and Expectations
This is a practical coordination role that blends drawing support, project tracking, vendor interaction, and financial follow-up. The right candidate should be comfortable managing multiple workstreams, responding to site issues quickly, and maintaining strong documentation throughout the project lifecycle.
