Overview
DMK Tribe is looking for a part-time Executive Assistant & Operations Generalist who will work closely with the founder and help relieve him of day-to-day operational work. The position is designed for someone who can handle a broad mix of responsibilities across finance administration, people operations, executive support, AI-enabled operations, client communication, and team coordination. The role is expected to grow from part-time into full-time as responsibilities expand.

Role Summary
This position is based in Malta and sits directly alongside the founder. It is a high-trust, hands-on role for someone comfortable managing a wide variety of operational tasks. Success in the role means creating more space for the founder to focus on sales and business growth.
Finance and Invoicing
- Track down and organise invoices for software subscriptions and contractors.
- Keep an eye on Stripe for failed customer payments and coordinate follow-up.
- Work with the external bookkeeping and payroll provider in Malta.
- Handle expenses through Revolut Business.
- Assist with monthly payroll processing and VAT compliance.
Executive Assistance
- Manage calendars and coordinate travel and accommodation arrangements.
- Sort and prioritise the founder’s inbox, and draft replies when needed.
- Prepare for meetings, capture notes, and follow through on action items.
- Support general personal-assistant tasks as required.
HR and People Operations
- Create and maintain standard operating procedures across the agency.
- Coordinate onboarding for new contractors.
- Help draft contracts and support compliance processes.
- Contribute to company culture and assist with team initiatives.
AI Operations
- Develop deep working knowledge of Claude, including Cowork mode, and other AI tools.
- Build skills, automations, website-related workflows, and other process improvements in Claude Cowork to help the team move faster.
- Keep internal AI playbooks current and useful.
Team and Vendor Coordination
- Coordinate with team members to update the website, resolve minor issues, and remove operational blockers.
- Set up and review calls from Upwork and Fiverr for freelancer and contractor sourcing.
- Use a practical understanding of e-commerce marketing and creative roles when screening candidates.
Sales and Client Communication
- Meet clients and prospects both online and in person on the founder’s behalf.
- Act as the first point of contact and screen prospects before they reach the founder or sales team.
- Run initial discovery conversations to check fit and gather key details.
- Handle routine questions about invoicing, payments, and finance in a professional manner.
- Represent the agency with confidence, polish, and trustworthiness.
