This is a full-time position with a Monday to Friday schedule. Responsibilities
- Draft various types of correspondence, reports, memoranda, and records as requested; prepare computer spreadsheets as needed.
- Initiate written communications or reports on behalf of the Hospital CEO.
- Answer phone calls, screen incoming calls, and greet visitors of the Hospital CEO.
- Carry out routine administrative tasks and basic problem-solving to support responsibilities.
- Assemble and mail meeting packets for the facility.
- Prepare quarterly reports monitoring patient complaints and feedback from patient and employee focus groups.
- Attend administrative meetings, record minutes, transcribe and distribute them to relevant participants.
- Distribute various reports and perform photocopying duties as required.
- Provide clerical and administrative support to multiple departments reporting directly to the Hospital CEO.
- Coordinate scheduling for all Facility Management Team Meetings and other necessary meetings; produce and distribute event orders and reminders for these meetings.
- Receive and sort all incoming mail, screen correspondence, and in the absence of the CEO, refer urgent matters to appropriate departments.
- Manage and distribute petty cash for the facility when requested.
- Handle sensitive and confidential information with utmost professionalism and discretion.
Qualifications
- Minimum qualification: High school diploma or equivalent.
- Required proficiency in multiple computer applications and software programs.
- Prior experience working in an administrative capacity is necessary.
- Preferred qualifications include an Associate’s Degree or relevant coursework and certifications.
