Role Overview
This position calls for an experienced Document Control Manager to own document management operations, governance frameworks, and information control processes across the business. The successful candidate will define and uphold document control standards, supervise documentation systems, maintain version integrity, and help the organization stay aligned with internal policies, quality standards, and regulatory obligations.
Key Responsibilities
- Create and roll out document control policies, procedures, strategies, and governance structures that support company goals and compliance needs.
- Manage the full document lifecycle, from creation and review through approval, distribution, revision tracking, archiving, and retention.
- Set up and maintain numbering conventions, classification methods, metadata standards, version control rules, and access permissions.
- Work closely with project management, engineering, quality assurance, procurement, legal, operations, IT, and leadership teams to strengthen document control practices.
- Track performance indicators such as document accuracy, approval turnaround time, revision adherence, retrieval speed, audit results, and lifecycle efficiency.
- Administer document management systems, digital repositories, collaboration tools, and information governance processes to protect data integrity and ensure accessibility.
- Carry out document audits, compliance checks, and quality reviews to confirm alignment with internal standards, contractual obligations, and regulations.
- Maintain compliance with quality management systems, information security requirements, industry standards, and retention rules.
- Design document workflows, approval routes, templates, instructions, and best-practice guides that improve efficiency.
- Support project teams with technical files, contracts, reports, drawings, specifications, procedures, and operational records.
- Use DMS, ECM platforms, SharePoint, ERP tools, Microsoft Office, Power BI, and reporting software to improve document operations.
- Prepare status reports, compliance dashboards, audit packs, executive summaries, and improvement recommendations for senior management.
- Lead, coach, and develop document controllers, records specialists, and information management staff while promoting accuracy, ownership, governance, and continuous improvement.
Requirements
- A bachelor’s degree in Business Administration, Information Management, Engineering, Project Management, Quality Management, or a similar discipline is preferred.
- Professional certifications in Document Control, Records Management, Information Governance, Quality Management, or equivalent credentials are an advantage.
- At least 5 years of experience in document control, records management, information management, project administration, or a comparable function.
- At least 2 years of experience leading document control teams, information governance programs, or enterprise documentation processes is preferred.
- Strong knowledge of document lifecycle handling, version control, records retention, compliance requirements, and information governance principles.
- Hands-on experience with DMS, ECM systems, SharePoint, ERP platforms, Microsoft Office Suite, Power BI, and reporting tools.
- Exposure to ISO standards, quality management systems, construction or engineering documentation, regulatory compliance, and digital document transformation is beneficial.
- Strong organizational thinking, analytical ability, technical understanding, and problem-solving skills.
- Excellent communication, stakeholder management, attention to detail, and cross-functional collaboration skills.
- Capability to manage high volumes of complex documentation while preserving accuracy, security, and accessibility.
- Comfort working independently in remote and hybrid environments.
