Overview

This position is aimed at supporting the project team to maintain smooth coordination during the phases of drafting, design, and submission/approval within the project lifecycle.

Primary Responsibilities

  • Keep the Document Control Register updated by logging procurement documents, material details, shop drawings, as-built files, and variations to provide clear status tracking of project documents.
  • Manage and submit project documents such as material submittals, shop drawings, method statements, health and safety declarations, risk assessments, and Inspection Test Plans (ITPs) for consultant approvals across the project scope.
  • Support the MEP Manager in material procurement by preparing detailed Material Requisitions that include specifications, drawings, and bill of quantities, and by obtaining a minimum of three quotations per item.
  • Compile price comparison analyses against project budgets and prepare compliance statements evaluating materials against project criteria, securing approval from authorized personnel prior to submission.
  • Review feedback on documents, make necessary corrections, resubmit within deadlines, and actively pursue timely approvals.
  • Arrange and participate in site coordination meetings, develop agendas, record minutes, and ensure resolution of action items.
  • Serve as the link between site and office teams to guarantee effective technical assistance is delivered.
  • Organize and submit project completion documents such as as-built drawings and Operation & Maintenance manuals, and ensure final approvals are obtained upon project completion.

Qualifications and Experience

  • Possess at least a Bachelor's degree or an equivalent level of experience.
  • Have a minimum of one year of relevant experience in a related role.

Skills and Competencies

  • Competent in Microsoft Office applications and experienced in preparing detailed reports.
  • Demonstrates strong communication, time management, and negotiation capabilities.
