We seek a meticulous and proactive Project Coordinator to join Whipped Cream, a creative studio based in London. This position involves close collaboration with account management and production teams to ensure smooth project execution within the experiential and creative domains. The role is ideal for someone who enjoys detailed, fast-paced environments and thrives on keeping projects and teams aligned. Responsibility spans logistical coordination, timeline management, research, briefing, and support during live events.

Key Duties
- Assist Account and Production teams throughout the project lifecycle from briefing to completion.
- Develop and maintain project timelines, trackers, and contact lists to ensure stakeholder alignment.
- Oversee day-to-day project logistics including research, supplier bookings, venue arrangements, travel, crew, and equipment management.
- Support creative development with research on references, mood boards, materials, and cultural insights.
- Handle budget administration such as gathering quotes, monitoring expenditures, and facilitating cost reconciliation.
- Support on-site during shoots, events, walkthroughs, and live activations.
- Prepare pitch decks, proposals, and presentations for both new and existing clients, ensuring clarity and brand consistency.
- Coordinate freelance collaborators by providing essential information, timelines, and assets.
- Manage the project management system to serve as a central hub for project documentation and status updates.
- Refine internal operational processes to enhance studio efficiency and creativity.
- Maintain administrative tasks including file organization, meeting documentation, scheduling, and follow-ups.
Candidate Profile
- Recent graduate with up to one year of experience in creative, experiential, or production settings.
- Strong attention to detail with excellent organizational capabilities.
- Proactive self-starter with a solutions-oriented mindset.
- Adept at managing multiple projects, deadlines, and diverse stakeholders efficiently.
- Excellent communication skills, both verbal and written, with professional demeanor in interactions.
- Comfortable working with schedules, timelines, spreadsheets, and basic budgeting tasks.
- Experience or aptitude with project management tools (e.g., Monday.com, SharePoint) and shared drives.
- Genuine interest in branding and creative industries.
- Ability to remain calm under pressure while collaborating with team members enthusiastically.
Working Conditions and Benefits
- Permanent, full-time employment based in London with a hybrid work schedule (three office days per week).
- Annual salary between £25,000 and £27,000, dependent on experience.
