Job Summary
We are looking for a proactive and detail-oriented Project Coordinator to support the effective management and delivery of multidisciplinary design consultancy projects. This role involves close collaboration with Project Managers, Studio Heads, and design teams to manage project tracking, reporting, regulatory submissions, proposal activities, subconsultant coordination, and payment monitoring throughout project phases.
Key Responsibilities
- Maintain comprehensive project trackers including dashboards, submission and authority logs, RFI logs, action lists, variation and payment trackers, alongside weekly project reports.
- Coordinate communications and activities with internal design teams, clients, project management consultants, Architects of Record, subconsultants, and support departments.
- Accurately document meetings via minutes and action/follow-up lists.
- Track project progress and ensure the punctual achievement of milestones.
- Organize and manage all project documentation systematically for the project duration.
- Support authority submission processes including tracking, comment resolution, and re-submissions.
- Coordinate multidisciplinary design deliverables throughout all project stages and assist in resolving coordination challenges.
- Manage subconsultant activities including gathering quotations and proposals, maintaining comparison analyses, liaising with Procurement and Contracts teams, monitoring deliverables and financial milestones.
- Follow up on client invoicing and payment statuses, monitoring overdue amounts and updating payment trackers accordingly.
- Assist with identification and documentation of additional services, scope modifications, and variations, preparing relevant variation orders.
- Aid in proposal preparations by collating required inputs, managing submission timelines, and maintaining proposal trackers.
Qualifications
- Bachelor's degree in Architecture, Engineering, Construction Management, Project Management, or related fields.
- 2 to 3 years of experience in architectural or engineering consultancy environments.
- Exposure to supporting multidisciplinary design consultancy projects.
- Basic knowledge of design phases, authority submission workflows, and general project coordination.
- Experience in GCC region is advantageous.
Technical Skills
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
- Familiarity with Revit software is preferred.
- Experience with AI tools and project management/document control systems.
