Role Purpose

The Project Lead – Creative Experiences will spearhead the planning, coordination, and execution of Wellineux’s high-end events, activations, installations, and workplace experiences. This role demands a blend of creative leadership and operational precision to convert innovative concepts into flawlessly executed experiences, working closely with the CEO, clients, partners, and internal teams. The position is both collaborative and hands-on, requiring active involvement in all phases from proposal preparation to onsite event management.

Key Responsibilities

• Lead end-to-end execution of premium events, wellbeing programs, and activations, ensuring high-quality delivery.
• Convert creative ideas into detailed project plans, including timelines, run sheets, and documentation.
• Manage multiple concurrent projects maintaining keen attention to detail and standards.
• Build strong relationships with clients through proactive and clear communication, participating in meetings and presentations.
• Supervise onsite event operations, including coordination of partners, contractors, and event staff, ensuring smooth bump-ins and bump-outs.
• Contribute to creative direction, styling, and experience design, sourcing necessary materials and styling elements.
• Handle logistics such as freight coordination, equipment management, and warehouse organization.
• Maintain project administration including proposals, budget tracking, invoicing, and reporting.
• Pursue innovation by researching industry trends and developing new partnerships and concepts.
• Perform physical event setup duties including loading/unloading, installation, and support before, during, and after events.

Candidate Profile

• Exceptional organizational skills with a creative mindset and meticulous eye for detail.
• Ability to stay calm and solution-oriented under pressure while juggling shifting priorities.
• Excellent verbal and written communication skills capable of engaging senior stakeholders.
• Hands-on, proactive approach with high initiative, accountability, and teamwork spirit.
• Proficiency with Microsoft Office, Canva, and project management tools like Monday.com, Asana, or Trello.

Experience & Qualifications

• Minimum 3-5 years in event management, workplace experience, hospitality, production, or related project management fields.
• Proven success in managing premium, end-to-end event delivery and client engagement.
• Experience with corporate clients, property sectors, or premium brands preferred.
• Capable of leading onsite event logistics and managing multiple project stakeholders.
• Current driver's license required; ability to drive larger vehicles or trailers is an advantage.
• Relevant academic qualifications desirable but not mandatory.

Working Conditions

• Work primarily from South Melbourne office and various client locations within metropolitan Melbourne.
• Flexibility to work early mornings, evenings, and weekends as per event schedules.
• Role includes physical tasks such as lifting and setting up event materials.
• Reliable transport and ability to adapt to dynamic work environments required.
