Position Summary

The IT & Systems Coordinator will report primarily to the General Manager – Operations in Sydney and coordinate IT support efforts with the Adelaide team. This position focuses on delivering daily IT assistance across multiple locations, maintaining and troubleshooting hardware and software, supporting point-of-sale (POS) and operational systems, managing network infrastructure, and driving improvements in internal system efficiencies and technology adoption.

This role is based full-time onsite at the client’s South Western Sydney office and requires close cooperation with onsite staff, client management, and the Adelaide head office to ensure alignment between on-the-ground support and overarching IT strategies. The role also involves providing remote assistance to several sites across Australia, including regional and remote locations, with occasional travel needed for installations and maintenance projects.

Key Responsibilities

  • Deliver daily IT support and resolve hardware, software, Microsoft 365, and connectivity issues for onsite and remote staff.
  • Manage setup and upkeep of computers, printers, tablets, phones, and networking hardware.
  • Maintain Ubiquiti UniFi wireless networks, including access points, gateways, switches, and point-to-point connections.
  • Configure and administer WatchGuard firewalls to ensure network security compliance.
  • Support Microsoft 365 applications such as Exchange Online, SharePoint, Teams, and user account management.
  • Collaborate with external service providers and suppliers to resolve IT issues.
  • Keep accurate IT asset logs and system documentation.
  • Gain in-depth knowledge of company POS and back-office systems to support site teams with troubleshooting and operational challenges.
  • Assist with POS reporting, system upgrades, and issue resolution while liaising with vendors for ongoing improvements.
  • Manage and maintain company websites and Shopify e-commerce stores, supporting product updates, pricing changes, and backend enhancements.
  • Facilitate integrations between websites, systems, and online platforms to boost customer experience and internal workflows.
  • Identify and implement process improvements, technology upgrades, and efficiencies across the business leveraging Microsoft 365 and cloud tools.
  • Develop and maintain operational dashboards and reporting systems to monitor key business metrics and support data-driven decision making.
  • Provide clear communication and direct support to remote site teams, ensuring consistent IT standards and service quality.
  • Travel periodically to locations as necessary for installations, maintenance, and direct support.

Required Qualifications and Experience

  • Proven experience providing IT support in multi-site environments.
  • Skilled in Microsoft 365 administration services, including Exchange, Teams, SharePoint, and preferably Intune.
  • Hands-on expertise managing Ubiquiti UniFi wireless network devices and infrastructure.
  • Experience with WatchGuard firewall configuration and network security management or similar platforms.
  • Strong understanding of networking fundamentals such as LAN/WAN, VLANs, DHCP, and DNS.
  • Exposure to POS or retail/hospitality systems support is advantageous.
  • Exceptional problem-solving abilities with a customer-focused approach.
  • Ability to translate complex technical concepts into accessible language for non-technical users.
  • Highly organized with excellent skills in documentation and asset management.
