Role Summary
The Project Coordinator will play a crucial role in facilitating successful customer implementation projects by managing setup activities, tracking tasks and timelines, and ensuring smooth communication among internal teams and clients. This role involves interacting with clients and project teams to coordinate onboarding, manage access, support data-related operations, document procedures, and organize training sessions for end users. The coordinator will maintain accurate project documentation, monitor risks and issues, escalating as necessary, and contribute to process enhancement based on client feedback. Both remote and onsite implementation support may be required.
Key Responsibilities
- Manage multiple implementation projects simultaneously.
- Maintain and update project plans, schedules, and milestone tracking.
- Organize and coordinate meetings, document minutes, and track follow-up actions.
- Communicate clear project updates and next steps to clients and internal stakeholders.
- Assist onboarding by coordinating access and scheduling for clients.
- Document project workflows, processes, and deliverables accurately.
- Monitor project risks, issues, and dependencies; raise concerns to project managers or technical teams promptly.
- Collaborate with both technical and non-technical teams to support issue resolution efforts.
- Keep comprehensive and accurate records within internal project management systems.
- Support continuous improvement initiatives through documenting feedback and process refinements.
Qualifications
- Bachelor’s degree or equivalent practical experience.
- Up to 2 years of experience in project coordination, customer support, or similar administrative roles.
- Strong organizational and time management abilities.
- Excellent written and oral communication skills.
- Capable of managing multiple priorities in a fast-paced environment.
- Basic understanding of project management principles.
- Demonstrated ability to collaborate effectively across diverse teams.
- Eagerness to learn new tools, systems, and processes.
- Proficient with Microsoft Office 365 applications.
Preferred Skills
- Familiarity with project management software such as Microsoft Project, Smartsheet, or Jira.
- Experience in technology or software delivery settings.
- Exposure to CRM or PSA platforms like Salesforce or FinancialForce.
- Basic knowledge of software implementation or onboarding workflows.
