Role Overview
The Senior Document Controller manages all project-related documentation during each stage of projects including Concept, FEED, EPC, procurement, construction, pre-commissioning, commissioning, and handover. This role ensures compliance with ADNOC, PMC, and project-specific document control protocols, maintains document integrity and traceability, and facilitates efficient document flow among multidisciplinary teams.
Key Responsibilities
- Develop and enforce document control processes aligned with ADNOC and PMC standards.
- Oversee document control operations throughout all project phases, from initial concept to close-out.
- Log, categorize, distribute, transmit, and archive documents for engineering, vendors, contractors, and clients.
- Maintain correct document numbering, revision controls, metadata accuracy, and track document statuses.
- Coordinate the submission, review, approval, and dispatch of engineering deliverables among PMC, ADNOC, EPC contractors, licensors, vendors, and other stakeholders.
- Monitor document review timelines and actively follow up to ensure on-time approvals.
- Maintain document registers, master indexes, deliverable trackers, and transmittal logs.
- Ensure all documents are correctly uploaded and updated in the Electronic Document Management System (EDMS).
- Produce regular document control reports, KPIs, overdue reviews, and management dashboards.
- Support engineering teams by providing timely access to current revisions and managing superseded documents.
- Coordinate vendor document review processes and ensure contractual compliance.
- Verify completeness and quality of documentation before distribution.
- Assist construction and commissioning teams by providing controlled distribution of approved technical documents and drawings.
- Manage project records, final documentation, turnover dossiers, and facilitate project close-out documentation.
- Ensure alignment with ADNOC document control standards, ISO quality requirements, and company procedures.
- Provide leadership and mentoring to document control staff and project administrative personnel.
- Collaborate effectively with Engineering, Procurement, Construction, Commissioning, Quality, Project Controls, and Client teams.
Required Qualifications and Experience
- Bachelor’s degree in any field or equivalent accreditation.
- At least 10 years of experience managing Electronic Documentation Management Systems in Oil & Gas or Petrochemical projects.
- Minimum of 5 years’ experience preferred within the GCC region.
- Demonstrated experience supporting Concept, FEED, EPC, Construction, and Commissioning phases.
- Mandatory ADNOC project experience.
- Experience with offshore projects is essential.
- Background with PMC projects is advantageous.
- Proven expertise managing multidisciplinary engineering documentation for both onshore and offshore facilities.
Technical Skills
- Deep understanding of engineering documentation control and lifecycle management methodologies.
- Hands-on experience with EDMS platforms such as Aconex, SharePoint, Documentum, OpenText, or similar systems.
- Strong grasp of document numbering, revisions, transmittals, workflow processes, and distribution methods.
- Proficient in Microsoft Office applications, especially Excel and Word.
- Experience preparing document registers, Master Deliverable Registers (MDRs), status reports, and KPI tracking.
- Familiarity with ISO 9001 quality management and document records management standards.
- Ability to handle large volumes of engineering documentation across multiple contractors and disciplines.
