About the Role
We are looking for a proactive and adaptable Administrative Assistant to provide efficient support to the Finance Leadership Team (FLT). This position plays a key role in facilitating daily operations and coordination among global stakeholders, ensuring smooth and organized workflows. It is a junior-level, flexible role offering exposure to global teams and a variety of evolving responsibilities.
Work Model
This is primarily an office-based position to foster close collaboration and team alignment, though it allows for remote work approximately 20% of the time (typically one day per week).
Key Responsibilities
- Manage administrative tasks for FLT members including calendar scheduling, meeting coordination, travel arrangements, and expense management.
- Coordinate interactions across international teams located in Europe, India, and the US to ensure seamless communication and scheduling.
- Organize internal meetings, workshops, leadership events, handling logistics, agenda setting, and follow-up actions.
- Maintain and organize documentation such as SharePoint files, trackers, and team records with emphasis on accuracy and accessibility.
- Support onboarding and offboarding procedures as well as other general team coordination activities.
- Monitor key activities such as travel itineraries, leadership visits, and action item tracking to ensure timely completion.
- Provide flexible, on-demand administrative assistance to Finance and broader teams based on business requirements.
- Assist with administrative processes connected to withholding tax (WHT) documentation under guidance.
- Support GBSO administrative activities during transition phases, ensuring continuity and smooth handover.
- Serve as a reliable point of contact for administrative matters within supported teams.
Candidate Profile
- Experience in administrative, coordination, or support roles, ideally within corporate or global organizations.
- Excellent organizational and coordination abilities, with strong focus on detail and accuracy.
- Proactive and flexible approach capable of managing shifting priorities effectively.
- Strong written and verbal communication skills for engaging with international stakeholders.
- Comfortable working in multicultural environments across multiple time zones.
- Good command of Microsoft Office applications including Outlook, Excel, PowerPoint, and Teams.
- Basic knowledge of travel coordination, expense processing, and meeting logistics.
- Team-oriented, service-focused mindset with willingness to assist across a broad range of activities.
