Role Overview

We seek a Back Office Executive proficient in handling sales and purchase operations including quotation preparation, order management, and documentation. The candidate will assist sales and procurement teams by keeping accurate records, liaising with customers and vendors, and ensuring efficient daily office functions.

Key Responsibilities

  • Prepare and dispatch quotations to clients, following up on quotations and purchase orders.
  • Generate sales orders, invoices, and delivery challans; manage customer queries about order status and dispatch.
  • Maintain customer databases and sales documentation, support tender and bid preparation.
  • Manage procurement activities such as issuing RFQs, evaluating vendor quotes, raising purchase orders, and tracking deliveries.
  • Keep thorough vendor records and collaborate with stores and accounts departments.
  • Oversee office communications, emails, and documentation; prepare MIS, sales, and purchase reports.
  • Update ERP, Tally, or other software with sales and purchase data; manage filing and document control.
  • Coordinate with customers, suppliers, transporters, and internal teams; resolve routine order and document issues.
  • Assist management with preparing business reports and presentations.

Required Qualifications and Experience

  • Graduate degree preferred (B.Com, BBA, MBA, or equivalent); diploma holders with relevant experience considered.
  • Experience of 1 to 5 years in back office, sales coordination, purchase coordination, or administration.
  • Background in electrical equipment trading or manufacturing sectors is favorable.

Skills and Knowledge

  • Proficient in MS Excel, Word, and email communication.
  • Familiarity with Tally ERP, Busy, or other ERP software preferred.
