Role Summary
AECOM is looking for a highly organized and detail-driven Executive Assistant to support senior leaders in Doha, Qatar. This position plays a key role in keeping executive operations running smoothly by handling schedules, coordination, communication, documentation, and day-to-day administrative priorities. The environment is fast-moving and multicultural, so discretion, professionalism, and adaptability are essential.
Key Responsibilities
- Run executive calendars carefully, resolve scheduling conflicts, and align appointments with business priorities and leadership preferences.
- Serve as a communication bridge for internal and external contacts while safeguarding executive availability and confidentiality.
- Arrange local and international travel, including itineraries, accommodation, and other logistics.
- Draft, format, and coordinate presentations, reports, and business correspondence with strong attention to accuracy.
- Support virtual and face-to-face meetings and events, ranging from small discussions to larger conferences.
- Build and maintain administrative tools such as spreadsheets, distribution lists, databases, and tracking systems.
- Handle expenses, purchase orders, invoices, and vendor-related coordination in line with company rules and service agreements.
- Join executive meetings, record minutes, and monitor follow-up actions through to completion.
- Carry out research and basic analysis to assist with executive planning and decision-making.
- Work effectively across departments and represent the organization professionally when needed.
- Maintain strict confidentiality, ethical conduct, and compliance with internal policies and local requirements.
- Adapt quickly to shifting priorities and take on additional tasks and projects as assigned.
Requirements
- Bachelor’s degree, or more than 5 years of experience in executive support or a similar corporate role.
- Strong command of Microsoft 365 tools, including Word, Excel, Outlook, and PowerPoint.
- Excellent organization and time management skills, with the ability to juggle several priorities at once.
- Strong written and spoken English communication skills; additional languages are an advantage.
- High accuracy and attention to detail in preparing documents and records.
- Proven experience coordinating executive calendars, travel, and events.
- Comfort with expense reporting and basic financial administration.
- Ability to work independently with good judgment and discretion.
- Strong interpersonal skills and experience working in multicultural settings.
- Commitment to confidentiality and ethical business practices.
- Experience supporting C-suite or senior leadership is preferred.
- Exposure to SharePoint, content management systems, or accounts payable processes is beneficial.
- Awareness of Middle East business customs and cultural norms is an added advantage.
