About the Role
Mackenzie Stuart is collaborating with a prominent Financial Services investment firm to recruit an Executive Assistant / Investor Relations Coordinator for their London office. This multifaceted role supports the Client Capital Management team by combining executive assistance with investor relations, sales coordination, and client servicing duties. The chosen candidate will provide essential support by arranging investor meetings, managing communications, updating CRM data, organizing travel, and ensuring seamless daily operations.
Key Responsibilities
- Arrange complex travel plans domestically and internationally including flights, accommodation, ground transportation, visa processing, and detailed itineraries.
- Process expense submissions, reconcile corporate card statements, and manage reimbursement workflows following company guidelines.
- Coordinate busy schedules and organize internal and external meetings across multiple time zones.
- Support investor meeting logistics such as venue booking, virtual meeting setup, and preparation of necessary materials.
- Assist with planning investor visits, overseeing logistics, hospitality arrangements, and internal coordination.
- Maintain and update investor and prospect information in Salesforce and other internal platforms.
- Prepare and distribute investor presentations, briefing documents, and fund reports.
- Coordinate events including roadshows, conferences, and client gatherings, handling attendee tracking, logistics, presentation materials, and catering.
- Respond promptly to investor inquiries and direct requests appropriately to ensure timely resolutions.
- Maintain orderly digital and physical filing systems and support document management processes.
- Provide general administrative assistance to the broader team and offer cover when necessary.
- Contribute to ad hoc projects, reporting duties, and other team needs as they arise.
Candidate Profile
- Preferably holds a Bachelor’s degree.
- Brings over 5 years of relevant experience supporting investor relations, institutional sales, client services, senior executives, or similar roles in financial services.
- Has a background in investment management, private equity, real estate, asset management, or closely related sectors.
- Exemplifies excellent organization and coordination skills with the capability to manage multiple priorities simultaneously.
- Experienced with CRM platforms such as Salesforce and other client or investor relationship management systems.
- Demonstrates meticulous attention to detail and a strong dedication to the accuracy of materials and external communications.
- Exhibits strong written and verbal communication skills, capable of professional engagement with institutional investors, consultants, senior leaders, and internal colleagues.
- Handles confidential information with discretion and sound judgment.
- Proficient with Microsoft Office tools (Outlook, Word, Excel, PowerPoint) plus Concur, Adobe Acrobat, and other business applications.
- Thrives in a fast-paced, team-oriented environment maintaining professionalism and client focus.
