Position Overview
The Executive Assistant acts as a vital partner to the President, delivering high-level administrative support and overseeing the smooth daily operations of the corporate office. This demanding role requires a professional with sharp judgment, confidentiality, and the foresight to anticipate needs in a busy and evolving environment.
Besides assisting the President, this position also offers support to other members of the Executive Leadership Team as necessary and functions as the lead Office Manager at the Charlotte headquarters. Success hinges on superior organizational capabilities, exacting attention to detail, technological adeptness, and the ability to foster cooperative working relationships across the organization.
Core Duties
- Manage the President’s schedule, prioritizing appointments, travel plans, and commitments to optimize productivity.
- Arrange detailed domestic and international travel including schedules, lodging, transportation, and expense management.
- Draft meeting agendas, executive presentations, reports, correspondence, and communications.
- Evaluate and prioritize incoming requests with sound discretion on urgency and necessary response.
- Act as a communication bridge between the President and both internal teams and external partners.
- Monitor important action items, ensuring they are completed promptly.
- Provide support for executive meetings, leadership retreats, and corporate events.
- Maintain utmost confidentiality and professionalism handling sensitive information.
- Assist Executive Leadership Team members with administrative tasks and coordination of meetings or projects as required.
- Serve as the primary office manager, maintaining a professional, well-organized workspace and managing suppliers, facilities, events, and visitor logistics.
- Coordinate special projects, company initiatives, and provide comprehensive administrative support leveraging Microsoft Office and other tools.
- Recommend and implement process enhancements to improve operational efficiency.
- Assist in budget preparation, purchase requests, and invoice processing as assigned.

Working Conditions and Other Information
- This role is fully onsite at the corporate office in Charlotte, NC.
- Occasional lifting of items up to 20 pounds and managing meeting/event setups is required.
- Limited travel may be needed for company events or industry trade shows.

Compensation
The position offers a competitive base salary between $65,000 and $70,000 annually depending on experience and qualifications. Total expected compensation, including targeted annual bonus, ranges from $71,500 to $77,000.
Qualifications
- Associate degree or comparable education/experience combination, Bachelor’s degree favored.
- At least four years’ experience supporting senior executives in a dynamic business setting.
- Advanced skills using Microsoft Office Suite and contemporary collaboration tools.
- Ability to manage competing priorities with precise attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Independent yet collaborative work style with excellent customer service orientation.
- Preferred experience supporting C-suite executives and office management, as well as coordinating executive travel and corporate meetings in small or mid-sized firms.
