Overview
As an Office Assistant at Velnesi, located in Raipur, Chattisgarh, you will play a vital role in ensuring smooth daily operations, maintaining customer relationships, and supporting various administrative functions.
Key Responsibilities
- Greet clients warmly to create a welcoming atmosphere and manage incoming calls efficiently by directing inquiries to suitable team members.
- Register new clients, keep client records updated, and schedule or adjust appointments while guiding clients on branch protocols and services.
- Maintain employee attendance logs and organize client documentation, including files, reports, and branch records, supporting the Branch Manager where needed.
- Handle billing by generating invoices and receipts, recording daily payments, preparing collection summaries, and coordinating with the accounts department on financial paperwork.
- Track inventory levels of treatment materials and office supplies, notify management about shortages, and assist with materials organization.
- Coordinate schedules between clients and service providers like therapists and dieticians, ensure treatment rooms are ready, follow up on appointments and renewals, and aid in organizing promotional events.
- Maintain cleanliness and orderliness in reception and office areas, liaise with housekeeping, report any maintenance concerns, and uphold a professional clinic environment.
- Prepare daily operational and client reports, maintain consent and treatment records, update CRM with accurate data, and submit reports as required by management.
- Ensure confidentiality of client data, comply with company policies and hygiene standards, and assist during audits by maintaining proper documentation.
Skills and Qualifications
