About the Role
Are you an organised and proactive professional who excels in dynamic environments? We are seeking a Personal Assistant / Project Coordinator to provide essential support to the Head of Community Hubs, Arts, Heritage and Events at Tauranga City Council. This role involves managing diverse projects and administrative tasks across the Division, ensuring smooth operations and timely delivery.
Key Responsibilities
- Deliver high-quality personal assistance to the Division Head.
- Maintain busy diaries, manage email communications, and monitor tasks and deadlines efficiently.
- Coordinate divisional projects and activities while supporting the leadership team as needed.
- Arrange travel and training programs for team members.
- Handle purchase card transactions with adherence to financial compliance standards.
- Record minutes during important meetings when required.
- Collaborate with the Executive Assistant and Group Administrators to provide consistent administrative support across the wider group.
- Respond promptly to customer enquiries and assist with reporting duties.
- Ensure the timely and budget-compliant delivery of one-off projects.
- Research and utilize AI technologies to streamline workflows, boost efficiency, and support the Division’s evolving initiatives.
Required Skills and Qualifications
- Demonstrated experience supporting senior leaders in fast-paced, confidential settings.
- Exceptional organisational ability to manage multiple priorities simultaneously.
- Strong communication and customer service expertise.
- Proficiency with Microsoft Office and adaptability in learning new software platforms.
- A forward-thinking, solution-oriented attitude.
- Experience in project coordination and administrative functions.
