Role overview

UGL is looking for an experienced procurement administrator to support an ongoing major oil and gas project. The role is based in Perth CBD, Western Australia, with a 5/2 roster, and the intended start is as soon as possible. The point of hire is Perth, WA.

This position plays an important part in keeping procurement activity organised, accurate, and aligned with budget and commercial requirements. You will handle procurement requests, support supplier coordination, and help ensure internal processes are completed correctly and on time.

Key responsibilities

  • Examine procurement requests from the project team to understand the scope and determine the appropriate recovery approach.
  • Create material and service requisitions correctly against the right cost code, complete budget checks, and ensure supporting evidence is attached.
  • Obtain between 3 and 6 competitive supplier quotations where needed.
  • Arrange delivery from vendors to the designated delivery point and make sure the CMR is in place before goods are delivered.
  • Track orders and delivery progress, following up to keep timelines on schedule.
  • Set up and onboard new vendors in internal systems.
  • Keep the procurement inbox, budget and procurement trackers, and SharePoint records up to date.
  • Review procurement requests for possible variation-related purchases and alert the Contracts Administrator without delay.
  • Work with internal stakeholders and suppliers to solve questions and operational issues.
  • Escalate risks quickly to the Commercial and Procurement Lead.

What you bring

The ideal candidate will have worked in procurement administration, or a closely related administrative role, in a busy environment. Strong commercial judgement, solid organisation, and the ability to juggle multiple priorities are essential.

You should be comfortable raising purchase orders, working across multiple cost codes, and coordinating RFQs with vendors. Good communication, strong attention to detail, and proficiency with MS Office tools, particularly Excel, are important. Experience with procurement or ERP systems is also required. Exposure to major projects is preferred, though not mandatory.
