Role Overview

The Program Operations Specialist will be a key team member within the Global Experiences division, focused on supporting the seamless execution of live meetings, incentive travel programs, and high-profile events. This position involves close collaboration with account teams to ensure all client and attendee interactions are delivered flawlessly, combining high attention to detail, technical prowess, and exceptional service orientation to create memorable experiences.

Key Responsibilities

• Act as the primary operational contact for loyalty, incentive, and meeting programs within key accounts.
• Manage comprehensive attendee processes including registration setup, invitation design, travel arrangements, communication schedules, and reporting.
• Support client program elements such as scheduling, agenda coordination, and onsite logistics management.
• Ensure data accuracy across various registration, CRM, and tracking platforms.
• Generate and distribute regular financial and operational performance reports.
• Oversee budget monitoring, purchase order processing, and timely payment to vendors and contractors.
• Assist in contract administration and ensure all fulfillment deliverables for clients and contractors are met.
• Provide exemplary customer service, responding promptly and professionally to client and attendee inquiries.
• Coordinate logistics with hotels, destination management companies, airlines, and fulfillment partners.
• Collaborate with internal leadership to optimize workflows and integrate operational best practices.
• Contribute to client communications, presentations, and strategic program developments with a solutions-oriented approach.
• Work with team members to innovate program initiatives and identify opportunities to enhance operational efficiency.
• Support business development initiatives by offering creative ideas and operational expertise.
• Keep informed about industry trends and emerging event technologies to continuously improve program delivery.

Required Qualifications and Skills

• Between 1 and 3 years of experience in program, event, or marketing operations, preferably within an agency or hospitality setting.
• Excellent written and verbal communication skills, enabling confident interaction with clients, vendors, and internal teams.
• Proven creative problem-solving abilities paired with an entrepreneurial mindset and project ownership.
• Strong multitasking skills with the capacity to manage multiple time-sensitive projects across platforms with accuracy.
• Proficiency in Microsoft Office Suite, especially intermediate or higher Excel/Google Sheets skills; experience with event registration or CRM software such as Cvent is strongly preferred.
• Bachelor's degree or demonstrated equivalent professional experience.
• Willingness to travel domestically and internationally up to 5–10% of the time.
