Position Overview
Reporting directly to the Property Manager, the Assistant Property Manager supports daily operational activities across Zen Residential's property portfolio. The role includes operational assistance, resident interaction, leasing team coordination, property standards maintenance, and overall site performance support.
Primary Duties and Responsibilities
- Assist the Property Manager in daily property operations and administration.
- Maintain accurate and organized records for residents, leasing activities, and operations.
- Prepare reports, manage documentation, and maintain databases using Yardi and related platforms.
- Track completion of operational tasks and site follow-ups.
- Deliver professional, timely customer service to residents and guests.
- Respond promptly to resident inquiries, concerns, and service requests.
- Support initiatives to retain residents and nurture a positive community atmosphere.
- Escalate complex resident issues to the Property Manager as necessary.
- Coordinate move-in and move-out processes including inspections and associated paperwork.
- Support lease renewals and communication with residents.
- Assist in rent collection efforts, arrears follow-up, and enforcement of tenant policies.
- Support enforcement of property policies and procedures.
- Provide daily operational support and leadership to the Leasing Associates and leasing team.
- Ensure leasing operations meet occupancy targets through timely follow-up and superior customer service.
- Help onboard and train new Leasing Associates according to company standards and processes.
- Monitor leasing activity including traffic and prospect follow-ups to uphold consistency and accountability.
- Collaborate with leasing staff to support resident retention, suite readiness, and resident satisfaction initiatives.
- Act as leasing team support in the absence of the Property Manager.
- Regularly inspect property to identify maintenance, cleanliness, or safety issues.
- Coordinate with maintenance and cleaning teams to uphold company standards for suites and common areas.
- Assist in preparing vacant suites to be market-ready.
- Support property safety, cleanliness, and curb appeal.
- Support resident engagement activities, events, and community programs.
- Help foster a welcoming, community-focused living environment.
- Work collaboratively with Property Manager, Leasing Associates, Maintenance, and operations teams.
- Assist with site projects and operational initiatives as required.
- Participate in team meetings, trainings, and professional growth opportunities.
Qualifications and Skills
- Experience in property management, leasing, customer service leadership, or related roles.
- Strong skills in customer service and relationship development.
- Excellent communication and interpersonal skills.
- Highly organized with ability to manage multiple priorities.
- Attention to detail paired with strong problem-solving and conflict resolution abilities.
- Proficient in Microsoft Office applications.
- Experience with Yardi or other property management software is advantageous.
- Knowledge of residential tenancy laws is beneficial.
- Post-secondary education in Business Administration, Real Estate, or related fields is considered a plus.
- Valid driver’s license and reliable personal transportation.
- Willingness to work occasional evenings and weekends as needed.
